Job Summary The Dispatcher plays a key role in coordinating HVAC service operations by managing incoming calls, emails, and service requests. This position prioritizes and schedules service calls efficiently while maintaining clear communication with clients, technicians, Field Managers, and Account Managers. The ideal candidate thrives in a fast-paced environment, ensuring seamless scheduling and responsiveness to client needs.

Essential Job Functions Assign service technicians based on client requests, job specifications, and availability. Communicate work orders, updates, and critical information to technicians. Notify clients promptly of schedule changes, delays, or service updates. Collaborate with Dispatch Supervisors and Service Managers to address scheduling challenges or urgent issues. Maintain an accurate dispatch board, ensuring full visibility of personnel and job status. Monitor and manage the service email inbox for work requests, estimates, and billing inquiries. Respond promptly to incoming calls and text messages on the dispatch cell phone. Oversee the dispatch system, ensuring accurate documentation, proper filing, and efficient distribution of service-related paperwork. Schedule and track preventative maintenance work orders. Review the on-call schedule daily to anticipate potential emergencies and coordinate responses with technicians and clients. Exercise sound judgment to make informed decisions within the scope of responsibilities. Continuously improve processes, communication, and efficiency to enhance client service. Adhere to company safety guidelines and policies. Maintain consistent and reliable attendance to support business operations. Perform additional duties as assigned.

Qualifications High school diploma or GED required. 2-4 years of dispatch experience in a fast-paced environment preferred. Strong multitasking skills, with the ability to manage multiple calls and requests simultaneously. Proficiency in Microsoft Office Suite. Excellent problem-solving skills with attention to detail. Strong verbal and written communication skills, with the ability to interact effectively across all levels of the organization.
