Amentum is supporting the U.S. Department of Justice (DOJ) in providing specialized training, advisory and mentoring services to host nations under the Criminal Division’s International Criminal Investigative Training and Assistance Program (ICITAP). https://www.justice.gov/criminal-icitap.
ICITAP is a cornerstone of America’s global strategy for combating transnational crime, terrorism, countering trafficking in persons, establishing rule of law and enhancing human rights in developing countries. Amentum is the contract service provider to the DOJ ICITAP and Overseas Prosecutorial Development, Assistance and Training (OPDAT) programs.
POSITION SUMMARY
The ICITAP program is seeking an Events Coordinator in Washington, D.C. to support global programming for the Office of Weapons of Mass Destruction Terrorism (WMDT). The Global Events Coordinator supports the Amentum ICITAP global portfolios providing administrative assistance in coordinating large global training events.
DUTIES AND RESPONSIBILITIES:
Enter purchase requisitions and arrange event spaces for conferences, trainings, meetings and any associated documents for printing and items needed to support the event (pens, easels, folders, notebooks, etc.)
Work with subcontractors or lodging facilities, provide catering services to attendees with approval from the customer.
Arrange hotel and lodging following government or contract requirements to include specifics associated with Technical Guidance Letters (TGLs).
Collect relevant traveler information and coordinate with the designated travel provider to obtain airfare for large delegations.
Work with associated vendors to obtain visas and other documentation necessary to enter countries of assignment.
Travel to event locations to ensure preparations are complete and oversee program logistics.
Ensure all travel arrangements follow Federal Travel Regulations and DOJ/CRM Divisions travel policy.
Organize ground transportation (including luggage), rental vehicles, or car and driver services with subcontractors when necessary.
Enter purchase requisitions and work with subcontractors, when necessary, to provide Meals and Incidentals per diem to those on travel.
Enter purchase requisitions and arrange interpretation or translation services on an as needed basis, to include any necessary equipment (transmitters, receivers, headsets/microphones, booths.)
Acquire Travel Medical Insurance upon request for named individuals and ensure that all persons listed therein are covered by a plan that includes a zero-dollar deductible and covers no less than $500,000 in emergency medical expenses.
Obtain and submit reimbursable documentation for billing, meeting GSA requirements, to include the monthly reconciliation of Travel and credit Cards.
Complete associated reports and trackers including travel budgets where necessary.
Other duties as assigned.
Clearable: Must be able to obtain and maintain a U.S. Government Public Trust Waiver. Note: US Citizenship is required to obtain a Public Trust Waiver.
REQUIRED SKILLS AND QUALIFICATIONS:
Bachelor's Degree in Business or the equivalent combination of education, professional training, or work experience.
Minimum of 2-5 years of related experience in travel management or government contracting including different methods of travel, conference coordination.
Skill in communicating effectively, both orally and in writing, as the position requires the ability to guide travelers in set up, travel procedures, post travel invoicing systems for reimbursement, when necessary, as well as regular communication with PMO, customers, and the billing team.
Intermediate skill in MS Outlook, Word, Excel, PowerPoint, SharePoint.
Knowledge of regulations, policies and precedents which affect the use of program and related support resources in the associated travel area.
Ability to use travel approval systems like Concur and other travel logistics systems.
This role requires attentional to detail and quick turn over of information submitted for timely travel approvals and reimbursements.
Knowledge and ability to provide contract support.
Experience with Costpoint ERP system or similar preferred but not required.
Travel up to 30-50% of the time will be required to support events, to include potential austere environments.
Must have or be able to obtain a public trust. Must maintain eligibility at the required security level for the duration of the contract.
