National Gallery of Art Development Assistant for Operations in Washington, District Of Columbia

Summary The primary purpose of the work of the incumbent is to provide operational administrative support for the Development Office; manage the departmental budget requisition and tracking process; conduct prospect and donor research in support of departmental efforts; coordinate and manages departmental travel; coordinate office supply inventory and organization; serve as departmental timekeeper; and perform other related duties as assigned. Responsibilities As the Development Assistant for Operations, you will: Manages invoice payments for department, including entering requisitions in Oracle and managing departmental purchase card. Reconciles Development Office spending and maintains budget log data entry to assist Senior Development Officer for Operations in creating detailed budget analyses (e.g., P&L by development program, team, or fundraiser). Creates weekly and monthly budget reports. Arranges expense reimbursements for Development Office staff. Conducts prospect and donor research as needed, with guidance from the Development Associate for Research. Creates bios for events and meetings and assists with simpler research tasks (capacity checks, questions about specific facts). Updates records in Raiser ‘s Edge database with current research findings and biographical information. Serves as liaison with LexisNexis. Assists with compilation of articles for the weekly development News Manager digest. As skills grow and time allows, we expect that research will take an increasing share of the incumbent ‘s role. Maintains and oversees time and attendance records for all Development Office staff. Answers Development Office central phone lines and distributes all incoming mail. Maintains office supply inventory, requisitioning supplies as needed. Organizes and maintains order of supply room. Coordinates use of conference room for departmental and other Gallery staff. Provides back-up coverage to executive assistant to Chief Development Officer. Assists with logistical arrangements (parking, courier services, etc.) for departmental staff as needed. Qualifications Candidates must meet the Qualifications Standards Handbook requirements for the NF-301-7. Specialized Experience Statement: Candidates must possess at least one year of specialized experience, equivalent in responsibility to the NF-5 level in the Federal service, logging donor information. Budgeting – Skill in managing and maintaining a budget. Research – Ability to research donors and prospects and present findings. You will receive credit for all qualifying experience, including volunteer experience.
