Job Title: HR Coordinator

Job Description

We are seeking an HR Coordinator for a 6-12 month contract. The ideal candidate will have a experience in hospitality, hotel, or restaurant management, combined with a basic understanding of HR. This is an open-ended contract with the potential for long-term conversion.

Responsibilities

  • Coordinate and execute employee engagement programs and initiatives to enhance workplace culture.

  • Organize and host monthly engagement connects, including team building and recognition events.

  • Serve as the onsite point of contact for all engagement initiatives, supporting employees and departments.

  • Manage inventory for engagement giveaways, prizes, and promotional material.

  • Conduct surveys and analyze feedback to identify trends and improvement areas.

  • Coordinate with the communications lead to develop and distribute materials promoting engagement events and encouraging participation.

  • Lead the planning and execution of the company's Annual Achievers awards event, ensuring a seamless experience.

  • Lead internal committee discussions on a periodic basis, forming teams and assigning members to support the execution of the event.

  • Coordinate event logistics, including venue booking, catering, and entertainment, while managing relationships with internal and external stakeholders.

  • Manage the event budget, ensuring cost-effective execution while meeting timelines.

  • Provide on-site support during the event, resolving any issues to ensure smooth operation.

  • Serve as the primary point of contact for new hires, assisting in creating and maintaining onboarding schedules.

  • Handle onboarding actions, including initiating experience checks, managing new hire forms, and coordinating with stakeholders for new hire setup.

  • Schedule new hire orientation, ensuring timely departmental orientation and employee announcements.

  • Conduct HR orientation sessions, explaining company policies, benefits, and procedures.

  • Maintain accurate onboarding paperwork and track new hire survey data in North America.

  • Maintain and update employee records, ensuring accuracy and compliance with company policies and regulations.

  • Organize and archive documents both digitally and physically as per company data retention policies.

  • Provide timely and secure access to employee records during audits or reviews.

  • Conduct regular audits of HR files to ensure completeness and compliance.

  • Provide administrative support to the VP & Head of Human Resources, including calendar management, travel arrangements, and meeting coordination.

  • Prepare reports, presentations, and other documents as requested.

  • Coordinate logistics for leadership meetings, including preparing agendas, taking notes, and distributing materials.

  • Handle confidential information with discretion and maintain professionalism in all interactions.

  • Assist in maintaining accurate employee data within the HRIS system (SuccessFactors and ADP), including position titles, compensation levels, and reporting structures.

  • Manage new hire and termination entries for various entities.

  • Support data audits and corrections within HRIS and payroll systems.

  • Collaborate with the HR team to create new positions and manage role transitions or separations.

  • Assist with special HR projects and initiatives as needed.

  • Participate in team meetings, contributing ideas and suggestions to improve overall HR functions and processes.

Additional Skills & Qualifications

  • High School Diploma required; bachelor’s degree in human resources, Business Administration, or a related field is a plus.

Work Environment

This role is hybrid and located in the person, NJ. The candidate will have their own office space and may require minor travel. Office attendance is required three times a week: Tuesday, Wednesday, and Thursday.
