Administrative Assistant

Job Function 1: Reception & Registration. Greet patients, obtain patient (information verification) update chart with most current information in EPIC. Send Welcome Packet with all needed additional material to new patients. When patient arrives be sure to check patient name, DOB, medical record number and referring OB name. When nuchal patients arrive be sure to ask if the finger stick has been completed, if not give the patient the correct paperwork to complete prior to being seen. Be sure to get request for services with appropriate codes for all new patients and scans that we have not ordered. Verify patient eligibility and insurance participation. Be sure to check in with patients to ensure they are comfortable and update them on their wait times.

Job Function 2: Request for Services. Responsible for making sure that all new patients or returning patients with new issues have a clear and concise request with correct diagnosis and ultrasound wanted marked. Make sure referring OB information is correct.

Job Function 3: EPIC Charts file Lab Result, Consults & Misc. Paperwork. Check charts two days in advance of appointments. Check all charts for insurance and get proper insurance authorizations for those needed.

Job Function 4: Insurance. Assist authorization admin to obtain authorizations for all needed scans and procedures from insurance companies. Obtain authorizations and prior approval for all scans being sent out to other locations. Obtain authorizations for scans that were performed but not authorized prior to appointment. Send authorizations and approval to proper sites for correct billing.

Job Function 6: Scheduling & Phones. Answer phones, schedule/cancel patient appointments. Check patients out upon exit. Schedule follow up exams as recommended. Enter correct patient information into new patient appointments and verify information for returning patients. Retrieve messages from voice mail. Return patient calls.

Job Function 8: New Employees. Assist with training all new employees.

Job Function 9: Billing. Making sure that all diagnosis codes, referring OB and provider are correct.

Job Function 10: Timecard & Other Duties. Perform API checks to ensure your time is in correctly. Put in all PTO and NPTO when needed prior to the end of the pay period. Inform your administrative services supervisor or your team lead of any issues with clocking in or out. Send an email with these issues as soon as they occur. If working no lunch, be sure to obtain approval.

Required:

  1. High School Diploma or equivalent.

  2. Minimum 2 years of experience in Business Administration or relevant area.

Preferred:

OB/GYN or women's health experience
