Thrive Proactive Health General Manager Medical Receptionist in Virginia Beach, Virginia

Overview:

The  General Manager Medical Receptionist will interact with internal and external patients/customers daily. This role models leadership influence, motivating the team, customer service, keeping the team accountable, focused, and on track by overseeing and leading projects or improvement initiatives based on organization's administration needs. Must be able to confidently juggle multiple tasks as a front desk receptionist and learn various aspects of the business. This lead position may work in various departments to help facilitate cross functional work, and needs to demonstrate a high degree of customer awareness to ensure exceptional customer experience in various departments. Ideal candidate enjoys learning and a fast paced busy atmosphere. They will be trained to be the primary point of contact to address all needs related to the Front End, Administration & Office Management. They are the eyes and ears for business management and our front desk, helping to ensure customer matters are being attended to and administrative needs of the business are being met. 

PRIMARY RESPONSIBILITIES: General Manager

  • Manage the FACE (i.e F irst A rea of C ustomer E xperience) of the company. Customer service excellence. Responsible for the front end receptionists service outcomes and customer feedback. 

  • Role model how to actively greet customers and visitors with personal interaction both in person and over the phone. Be courteous and helpful at all times. Take initiative to field and respond with assistance to resolve and follow up regarding any customer service matter in a timely manner.  

  • Help to manage touch points and “first impressions” by supervising day to day improvement initiatives and help to identify gaps or needs in training as necessary. 

  • Integrate cross-functional perspectives in decisions and handle the complexities of the business. Help make complex matters simpler. 

  • May be assigned to various departments while working on improvement initiatives within the business. Will need to quickly learn aspects of the job to help evaluate and cultivate solutions or improvements as they e xamine assigned efforts, structure, and skills to identify gaps and prepare the practice to meet current and future needs.

  • Lead and manage staffing for the department 

  • Coordinate staffing schedules and resources to provide front desk coverage all hours we are open. Will need to be prepared to cover the front desk when short staffed. 

  • Assist in the recruitment, selection, assignment, training, on-boarding and orientation, and termination of department team members. 

  • Manage politics and work with senior leaders to help solve problems successfully. 

  • Quickly resolve conflicts that may impede team performance or culture.  

  • Receptionist duties that understands key touch points involved with medical billing

  • Manage day to day front end procedures and various systems that the company uses for collecting waivers, scheduling, bill insurance, and various forms of payments.

  • Includes getting to know the intricate details to managing of our Point of Sale, Mindbody, Practice Pro, Waivers & paperwork, Care credit, Spafinders, Gift cards, ACH Memberships, packages, and promo/discount codes

  • Ensure clients are properly checked out and all cash payments are collected by the customer in a timely manner. 

  • Assist clients with scheduling out appointments.  

  • Able to responsibly collect patient statement balances and post payment from each customer.

  • Attention to detail for data entry. 

  • Answer multi-line telephone system. Must have excellent phone etiquette,  learn and develop scripts to answer questions and provide correct consistent information.

  • Ensure insurance patients are onboarded in a compliant way to maximize reimbursement. 

  • Learn various procedures about different medical insurances. Obtain necessary authorizations, verify insurance benefits, and field patient related questions around utilization of their insurance. 

  • Be comfortable distributing, explaining and reviewing all new patient information including insurance benefits to ensure that the patients have a clear understanding of how their insurance will cover their treatments.

  • Manage and balance cash drawers. Prepare weekly deposits. 

  • Work with our in house billing specialist and work to efficient integrate with 3rd party medical billing company for Revenue Cycle Management.

  • Answer follows up requests and trouble shoot fixing billing errors.

  • Collects and scan in patient paperwork into efiles.

  • Complete administration responsibilities for the practice.

  • Maintains a high level of professionalism and confidently juggles multiple tasks to support the Front End, Admin & Office Management. 

  • Maintain strict customer and company confidentiality with personal health and financial information. Supervise department’s daily functions to assure compliance with protection of sensitive data within our systems.  

  • Remain flexible and adaptable to perform other duties as assigned.

    Ideal candidate:

    Part time or Full time work is available

    Should be flexible to work at least 1-2 evenings a week or 1-2 Saturdays a month if needed.  

    Self directed learner. Enjoys learning, googling and researching further when hits roadblock.  

    Friendly. Upbeat and Positive 

    Previous experience in a medical office, retail sales, hospitality, admin assistant or receptionist.

    Previous experience in a physical therapy or healthcare setting 

    Strong written and verbal communication skills

    Great customer service

    Excellent phone etiquette

    Strong organization skills

    Computer experience in Google mail, Electronic Medical Records or Mindbody Scheduler.

    Ability to multitask, prioritize, take initiative and work in a team environment
