Typical Allocation of Duties:
Supervision of personnel - 30% Supervise personnel, which includes work allocation, training, promotion, enforcement of internal procedures and controls, and problem resolution; evaluates performance and makes recommendations for personnel actions.
Manage and participate - 15% Manage and participate in the daily operations of an assigned unit.
Implementation - 15% Develop or assist with the implementation of policies and procedures, systems, and processes.
Researches new trends and developments - 15% Research new trends and developments; presents recommendations as required.
Participate in planning and goal setting - 10% Participate in the development, implementation and maintenance of short-and long-range plans and goals.
Develop and implement projects and programs - 10% Develop and implement projects and programs to assist in accomplishment of established goals.
Department representative - 5% Represent the department at various meetings, and committees; promote existing and new programs and/or policies.
Supervisor Expectations:
Enrollment and Occupancy Management
- Maintain and oversee student application and assignment records using Banner and StarRez, including setting up and completing the Auto Allocate process for new student assignments.
- Enter student assignments outside the Auto Allocate process (e.g., special groups, international students).
- Maintain accurate housing rosters and ensure data in StarRez is current and accurate.
- Coordinate and facilitate room changes utilizing a developmental, customer service-focused approach.
- Coordinate physical occupancy checks process (warm body checks) to ensure students are in their assigned spaces.
- Process and respond to contract releases, including applications, charge adjustments, cancellations, and refunds.
- Follow up on room changes, evictions, and withdrawals to ensure proper student checkouts and move-in readiness for rooms.
- Place improper checkout charges and other necessary charges on student accounts.
- Chair the Contract Release and Residency Exemption Committee.
- Partner with the US Census Bureau to distribute and collect census surveys.
Customer Service
- Respond to inquiries and concerns from students, parents, and university stakeholders via email, phone, and in-person communication.
- Provide clear and timely communication regarding housing fees, refunds, contract buy-outs, cancellation penalties, and other related matters.
Communications
- Develop communication templates for processes such as contract confirmations, room selection, assignment notifications, and deadline reminders.
- Communicate regularly with department leadership, residence life staff, and external partners (e.g., SGSC, Disability Services, Financial Aid, Auxiliary Services).
Team Membership and Leadership
Represent Housing and Residence Life in university-wide committees and campus events. ::: ::: ::: :::
