Job Summary

The Manager Central Scheduling is directly responsible for the Central Scheduling area which includes appointment scheduling, surgery scheduling and pre-registration activities. This individual handles system administration, staff management, and the implementation and monitoring of process and performance standards, policies and procedures. This leader also seeks to identify and implement new and emerging strategies to increase efficiency and improve processes while striving to make a significant contribution to the financial stability of MVHS.

Core Job Responsibilities

  • Plans, organizes, coordinates and controls the activities of central scheduling and pre-registration.

  • Ensures appropriate staffing levels and overall efficiency by overseeing attendance, productivity and performance.

  • Sets goals, priorities and monitors quality for the area.

  • Establishes and/or revises policies, procedures and processes while focusing on continuous improvement and ensuring compliance with all applicable laws, regulations, guidelines and professional standards at the federal, state and local levels.

  • Sets productivity and quality measures.

  • Reviews all statistical reports to monitor trends and goals. Determines operational deficiencies and implements corrective action plans as necessary.

  • Responsible for management of Quality Assurance.

  • Responsible for monitoring the process of obtaining accurate patient insurance information and authorization requirements in an effort to prevent denials.

  • Responsible for monitoring the medical necessity checking process in an effort to prevent denials.

  • Oversees Point of Service collection efforts, ensuring minimum goals are achieved.

  • Ensures new hires receive orientation and training, and that all staff have the resources, tools and ongoing training necessary to fulfill their duties.

  • In partnership with leadership and Human Resources, makes decisions or recommendations related to performance management, hiring, transfers, corrective actions, terminations, etc. Resolves staff issues and grievances in a fair, timely and consistent manner, also in partnership with HR.

  • Promotes and role models a culture of service excellence and customer service in all interactions.

  • Performs related duties as assigned.

Education/Experience Requirements

REQUIRED:

  • Bachelor’s degree within a Healthcare field, or equivalent work experience.

  • 3 years of experience in Appointment Scheduling and Registration in healthcare field.

  • Prior management or supervisory experience.

  • Excellent interpersonal, written and verbal communication skills.

  • Excellent time management skills.

  • Proficient with MS Office, EMR/EHR (Epic) and able to learn new applications.

PREFERRED:

  • Bachelor's or Master's Degree within a healthcare related discipline

  • At least 5 years of experience within revenue cycle environment, with direct experience in Centralized Scheduling and/or Patient Access services, including management or supervisory experience.
