Job Summary
Performs a variety of tasks, including, but not limited to: answering phones, monitoring the Data Operations email inbox, confirming employment verifications, reviewing and processing unemployment claims, incoming mail, tuition waivers, loan default forms, file requests, temporary upgrade reports and loan forgiveness forms for Data Operations.
Duties & Responsibilities
- Phones, Data Operations Email Inboxes, HRFE Assistance
- Monitors the Illinois HR Data Operations email inbox, sending emails to the appropriate staff in the building and/or answering questions.
- Answers phone line and provides general information.
- Provides assistance to units with technical issues: Completion of UI New Hire forms, resetting passwords, HRFE questions and/or issues, transaction request for return or deletion.
- Provide support by assisting units with missing education options in UI New Hire and Published Professional Names.
- Maintains leave information in Banner for terminated employees, zeroing sick leave balances when appropriate
- Retrieves information for former employment requests, including
requests from out-of-state retirement systems and subpoenas.
- Prepares the verification to be returned to the person/company requesting the verification
- Review and process employment verifications, educational loan
default statements, tuition waivers, public service loan forgiveness
forms and update temporary upgrade calendars.
- Serve as liaison with outside agencies and vendors for employment verification of former employees and where non-standard information is required for employment verification of current employees.
- Confirms accuracy of loan defaults following the Illinois Public Act 85-827.
- Review, process and assist with all employee and child of employee tuition waivers.
- Review and process loan forgiveness applications
- Temporary upgrade calendars are updated on a bi-weekly basis via reports.
- Unemployment Claims
- Enters information into unemployment portal and works on quarterly BEN118 IDES unemployment report - checks all names on the report, reconciles all names to determine that we have received all the information to show we should be charged, if not types up information on the appeal form with the correct code, does cover letter and copies all back-up.
- Schedules/attends unemployment hearings.
- Daily Mail and Faxes
- Sort, file, scan, or distribute as needed.
- Other duties as assigned
Minimum Qualifications
- H gh school diploma or equivalent.
- Any one or any combination totaling two (2) years (24 months) from
the following categories below:
- Course work in human resource administration, business
administration or a closely related field, as measured by the
following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate\'s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.
- Course work in human resource administration, business
administration or a closely related field, as measured by the
following conversion table or its proportional equivalent:
Knowledge, Skills and Abilities
- Knowledge of related systems such as HR Front End, Banner and Microsoft Outlook is a plus.
- An understanding of procedures for maintaining records and filing systems.
- Familiarity with Word, Excel, and Access is helpful.
- Requires attention to detail, good judgment, discretion, and confidentiality.
- Must be able to provide a high level of customer service. 6. Requires good verbal and phone skills.
