Indian Health Service Administrative Support Assistant in Shiprock, New Mexico

Summary This position is located at Shiprock Service Unit. Nursing Services Branch, Pediatric Inpatient Unit. The purpose of this positions to perform administrative tasks associated with maintaining and supporting the work performed within the organization. Incumbent is under the general supervision of the Supervisory Clinical Nurse. Responsibilities Performs office automation duties such as composing correspondence, forms, and reports which can include technical material, graphs, and charts. Also receive, screen, and direct calls and visitors from within and outside the organizational unit. Enters information into established databases and similar systems which track various administrative activities of the organization.. Performs a wide variety of administrative tasks such as: point-of-contact for scheduling meetings and/or conferences scheduling appointments, coordinates meetings. Establishes and Maintains the filing systems; Timekeeping functions; Preparing and processing documents associated with the travel and timekeeping. Responds to general inquiries and answers questions about the work of the organization. Performs a wide variety of administrative tasks such as purchasing supplies and equipment, ,tracking expenditures, establishing and maintaining filing systems. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. GS-06: Applicants must have 1 year of specialized experience that equipped them with the particular knowledge, skills and abilities to successfully perform the duties of this position. This experience is related to the work of the position and equivalent to at least the GS-05 level in the Federal service as described in the vacancy announcement. Examples: Performs administrative processes such as time keeping; preparing records for processing; scheduling for upper management using electronic calendars; respond to inquiries/complaints from the public; compile information from a variety of sources to prepare reports; prepare and submit supply requisitions according to established rules. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. This position is covered by a Bargaining Unit.
