The Product Development Senior Assistant, working in a project driven, team-oriented environment, is responsible for supporting productivity, accuracy, and compliance across various PL and CL teams. Responsible for the administration of centralized invoicing and associated contract and compliance monitoring for boards, bureaus, and vendors. Also assists in maintaining and tracking boards and bureau budgets throughout the year and preparation for future budgets. Responsible for supporting productivity, accuracy, and compliance across the CL, Small Business, and some Personal Lines activity. Reviews, tracks, reconciles, documents and ensures timely payment of all invoices related to boards, bureaus, and vendors across nine companies and three business units. Ensures management of the system (process) including advance prompts for recurring payments of significance that require senior level authorization, Works on reporting capabilities for planning and budgeting purposes. Manages the administration of bureau affiliations associated with the P&C operations: provides detailed breakdown of invoicing charges for analysis for IIX, Lexis Nexis, CDS Risk Meter and Prometrix for commercial lines and small business. Ensures management of these affiliations includes a system to track all changes, advances prompts to initiate contract negotiations in advance of termination date, and enables efficient reconciliation of the invoicing associated with these affiliations. Manages the administration of Westfield RBAC (for department members) and S the drive. Enables efficient processes to manage according to the enterprise criteria while meeting individual situational needs. Establishes back-up support system for critical functions; ensures precise documentation on all responsibilities shared with the back-up support to enable business continuity due to unanticipated circumstances. Collaborates across roles to enable consistency and, sharing of best practices where appropriate, and successful delivery of annual plans. Collaborates with department coordinators, administrative professionals, and the Regulatory Compliance Analysts on a routine basis to enable completion and documentation. Participates in special projects upon request/assignment. 2-4 years of experience in Product Development, Communications, or a related field. High School Diploma, GED and/or commensurate experience.
