Responsible for data entry for the Clinical and Quality Departments. Under the direction of the Administrative Supervisor – Complaints & Grievances and Clinical Director in coordination with the Medical Director and Quality Director assists the Directors of Clinical Operations, Quality Operations, Workplace Services, Member/Provider Network Services, and Account Services in identification of areas for quality improvement, coordination of enhancements to processes and identification of areas for improvement of quality.

How you will make an impact:

  • Creates member specific files related to Complaints then completes all applicable letter templates for review and disbursement to the appropriate recipients; including but not limited to Acknowledgement Letters, Scheduling Letters, Releases of Information (ROI), and Decision Notices.

  • Maintains data entry for Peer Reviews, Consults, Grievances, Complaints, Fair Hearings, and External Reviews. Data entry is completed in two systems.

  • Reviews weekly and monthly reports for errors related to data entry.

  • Prepares records for Medical Director audits.

  • Cross training is required to fill in for other Administrative Assistants and Utilization Management Representatives to provide adequate coverage as needed based on their roles and responsibilities.

  • Other duties as assigned.

Computer programs used: Word, Excel, Outlook, PowerPoint, Access, Adobe.

Requires:

HS diploma or GED and a minimum of 4 years administrative experience: or any combination of education and experience which would provide an equivalent background.

Other Knowledge, Skills & Abilities: includes but not limited to typing skill of 45 words per minute preferred, strong/professional communication (written and verbal) skills and performance management skills, strong attention to detail, knowledge of regulatory statutes/requirements, strong organizational skills, high level of interpersonal skills to handle sensitive situations, must be able to interact and communicate with individuals at all levels of the organization as well as outside entities such as providers and oversight entities, excellent Customer Service skills, must be able to work in a fast paced environment with demonstrated ability to handle multiple tasks and demands, self-starter, positive attitude, HIPAA familiarity is highly perferred.
