Olson Kundig HR Coordinator in Seattle, Washington

Currently, we are seeking a Human Resources Coordinator to join and support our Human Resources team and contribute to the overall excellence of work coming from Olson Kundig.

Position Description:

The Human Resources Coordinator supports the administration of the employee lifecycle by assisting with the hiring, onboarding, employee changes, talent management and offboarding .  To succeed in this role, you should be an adaptable self-starter who can prioritize and complete multiple projects and tasks in a creative and dynamic environment .  This role will collaborate with internal teams to deliver exceptional results within specified deadlines.

Primary Responsibilities:

People Operations 

  • First point of contact for answering employee inquiries regarding hiring, onboarding, status changes, and offboarding.

  • Hiring and Offers

  • Responsible for drafting offer letters

  • Assists with the administration of recruiting systems

  • Intern candidate coordination and offer letters

  • Onboarding and Offboarding

  • initiates and administers onboarding for all employees

  • Conduct employee orientation sessions to familiarize new hires with organizational policies, procedures, and culture.

  • Primary HR support for onboarding initiatives

  • Assists with the offboarding processes for exiting employees, ensuring a smooth transition.

  • Leave of Absence and Alternative Work Schedules

  • Supports the leave of absence process and alternative work schedules by tracking employee leave dates and FMLA/PFML hours used.

  • Employee Status Changes and Data Management

  • Responsible for ensuring credible information is available in Paylocity and Deltek on a timely basis, including but not limited to all newly hired employees, termination, promotion, transfer data, rate changes, and reporting changes.

  • Prepares and collects documentation for personnel files and conducts monthly audits to ensure personnel files are compliant and up to date.

    HR Administration and Talent Management:

  • Support Talent Management Initiatives and Employee Annual Reviews

  • Attends and take notes for approximately 150 Architectural and Interior Design annual performance reviews

  • Helps with the creation of the company's employee policies in human resources.

  • Assists management in disseminating HR policies, procedures, programs, and laws.

  • Evaluates, recommends, and implements opportunities to enhance productivity, efficiency, and enhanced HR administrative support and policy development.

  • Employee record keeping & HR data library – employee lifecycle data, LOA, and other items

  • Maintain OKpedia HR Document Library – based on key focus areas

    HR Systems and Analytics : 

  • First point of contact for providing HR data and reports

  • Creates, runs, and distributes ad-hoc HRIS reports, including but not limited to leave absence, employee rosters, reporting relationships, and individual management requests as directed.

  • Performs analysis including a variety of human resource metrics and benchmarking data.

  • Responsible for annual compliance reporting such as the EEO-1

  • Updates the compensation analysis spreadsheet with new employees, departing employees, and wage changes.

    Education/Skills/Experience:

  • Bachelor's   degree in  Human Resources  or a closely related field or similar role with equivalent work experience  

  • Minimum  two (2)  year of experience in a professional setting

  • Demonstrates a strong sense of urgency and effectively prioritizes multiple activities in a fast-paced work environment.

  • Has a passion for organizing information, exhibits a high attention to detail and takes responsibility for delivering accurate, high-quality work.

  • Demonstrates a growth mindset and an aptitude for presenting opportunities for process improvement and technology solutions.

  • Demonstrates effective problem-solving skills, including the ability to present solutions and recommendations for non-standard situations.

  • Communicates effectively verbally and in writing in a respectful and kind manner. Handles sensitive topics and information with discretion and confidentiality.

    As a firm, we are committed to pay practices that are fair, competitive, and reflect internal pay equity. At the time of posting this job, the hiring range for this position in Seattle is between $60,000 and $65,000 annually.  Final salary decisions are made based upon the extent and relatedness of the candidate’s education and experience and considering internal equity and external market factors.
