Job Description:

Parsons is looking for an amazingly talented Document Control Manager to join our team!

In this role, you will join a professional engineering, construction, and cost management team that is involved in multiple projects in the King Abdullah Financial District (KAFD). KAFD is a master plan development positioned to become Riyadh’s new Central Business District that combines a real estate development of approximately 850,000 sqm of office space, 115,000 GLA of retail, 1,200 residential units, 5-star Hotels, and 600 hospitality keys. KAFD is set to be the main enabler of the KSA 2030 vision.

What You'll Be Doing:

Leads and coordinates project document and records management services team in all aspects of a project from start-up to closeout. This includes providing on-demand request services to the Project Manager, delivery order managers, functional group leads, and staff. Ensures that the document control system is administered and maintained in accordance with Parsons and client procedures.

Provides technical guidance to lower-level staff assigned to the Document Control department. Prioritizes, assigns, and monitors workload to ensure project deliverables meet schedule. Establishes clear/concise work standards and goals for staff. Provides training and development, reviews work produced, completes performance evaluations, conducts employee counseling, and takes corrective action as necessary.

Resolves non-routine help desk issues and inquiries related to document controls (e.g., resolving access issues).

Provides on-demand request services to the PM or the client, delivery order managers, functional group leads, and staff.

Identifies and coordinates document control resources to support program team members and serves as a liaison to client counterparts.

Administers and maintains mailbox traffic, electronic documentation, incoming record logs, project library, distribution lists, permissions, and security groups. Provides backup support to document control staff for processing daily incoming mailbox traffic. Maintains SharePoint libraries and the document control website. This includes the daily purging and archiving of process mail and help desk traffic from mailboxes.

Performs qualify checks by sampling processed incoming traffic and help desk inquiries for accuracy and adherence to procedures, etc.

Provides document control orientation briefing and materials to new hires.

Provides training and guidance to document control staff and program team members on the use of software tools and resources. Conducts informal lunchtime training sessions on the use of the program’s forms and templates.

Conducts goal plan review meetings with staff.

Establishes document control responsibilities for delivery order start-up, close-out, and prime contract close-out.

Performs other responsibilities associated with this position as may be appropriate.

What Required Skills You'll Bring:

College Degree in a related field (or equivalent), and typically 12+ years of related work experience with at least typically 10+ years in document controls (or an equivalent combination of formal education and work experience).

What Desired Skills You'll Bring:

Knowledgeable of document control work processes and utilization of electronic systems for document management, as well as corporate procedures related to document management.

Ability to perform in a lead capacity, excellent written and oral communication skills, and a thorough knowledge of industry practices and company policies and procedures are required. Must also possess a thorough knowledge of database concepts, project-related software, and the ability to train and lead others in its use.
