Department Information

Media and Entertainment exists to provide academic instruction through practical, experiential learning across all areas of the media and entertainment industries. The department is home to our publicly-facing SOCO Student Media entities (Rev 89, The Today, SOCO Design, Digital Sandbox). The department provides administrative oversight of faculty, staff, and students.

Description of Job

This benefits-eligible, .5FTE position provides administrative support to the Department of Media and Entertainment (MAE) by prioritizing and scheduling tasks and providing administrative support to the departments' faculty and students.

This position:

  • Assists with budget, communicates, and manages files at the request of the chair.

  • Provides and manages front line access to the public requesting information on the department, programs, and student media.

  • Greets the public, answers phones, routes messages, disseminates, clarifies, and verifies academic information to students and visitors, and refers them to appropriate faculty and administrators by phone, email, or in person.

  • Mails program information upon request.

Primary Duties:

Purchasing, Inventory, Budget, and Travel Support

  • Arranges travel and processes travel documents, official function forms, and agreements according to state regulations.

  • Processes and documents purchases for equipment, course materials, office/classroom supplies from variety of accounts.

  • Creates and processes purchase orders, check requests, and procurement card transactions.

  • Tracks orders, requests back-up information, signs for deliveries, approves invoices, manages inventory.

  • Sets up, maintains, and tracks dept budgets, accounts, assets. Collects/deposits cash receipts. Processes payments. Transfers and verifies various funds from one account to another.

  • Processes course summary reports and generates major and minor reports as well as budget reports and balances, upon request.

  • Manages and ensures maintenance of printers and tracks faculty/staff/student copying requests.

Correspondence and file maintenance

  • Composes drafts, proofreads, and produces final copies of correspondence, letters, proposals, invoices, memos, tests, handouts, schedules, programs, etc. using a variety of software programs including electronic databases.

  • Creates and maintains databases for use in generating various reports, as well as mail merges to produce envelopes, and letters.

  • Compiles information and documents, including financial information and documents, to maintain department files and student files, which include confidential information, alumni records, syllabi, curriculum vitae, and faculty schedules.

  • Maintains database of departmental passwords, accounts, and subscriptions and assigns to users according to needs.

  • Attends faculty meetings and records and distributes minutes and budgets.

Workstudy Supervision

  • Processes and updates requests for work study employment for the department, utilizing Banner, PAWS, and other systems; completes student job descriptions, and obtains appropriate signatures to process through the Financial Aid Department.

  • Ensures work study referrals are in place; prints student time sheets, verifies time sheets, and maintains a log of approved referrals and time sheets.

  • Each semester, informs financial services of accounts to use for teaching assistants, along with NetlD numbers of those who need tuition waivers.

  • Establishes workstudy schedule with Chair according to department needs and ensures student workers are completing tasks.

  • Trains student workers on office/equipment room tasks, processes, standards, and best practices.

Front End Service/First Point of Contact

  • Greets faculty, staff, students, and the public.

  • Answers phones, routes messages, disseminates, clarifies, and verifies academic information for students and visitors and refers them to appropriate faculty and administrators by phone, email, or in person.

  • Mails/emails program information upon request.

  • Schedules meetings, events, productions.

  • Assists with department website and social media.

Travel within the region is occasionally required in support of outreach efforts.

Position may require flex work schedule to accommodate special events, productions, and needs.

Salary Range:

$1,627.50 - $2,279.00 monthly ( $19,530.00 - $27,348.00 annually) for this .5FTE benefits-eligible position

Minimum Qualifications

Experience Only:

Two (2) years of relevant experience in an occupation related to the work assigned to this position

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years

Special Requirement:

Current CO driver's license.

Preferred Qualifications

  • Experience with Kuali system

  • Experience with Banner

  • Experience applying State Fiscal Rules and Purchasing Guidelines

  • Experience following State Travel Guidelines

  • Familiarity with FERPA

  • Excellent written communication skills

  • Budget tracking experience

  • College coursework in media and/or creative field

  • Demonstrated knowledge of media/entertainment industries

  • Experience with media/entertainment agreements, media/entertainment operations, media/entertainment production workflow.
