Ottawa County Administrative Assistant in Port Clinton, Ohio

Job Summary The Administrative Assistant of the Ottawa County Emergency Management Agency is responsible for the administrative support of the Agency. Essential Knowledge, Abilities and Skills, Education 1. Knowledge of office practices and procedures; business English, spelling and grammar; accounting 2. Knowledge of the structure and management of local government 3. Proficient in Microsoft Office 4. Ability to communicate effectively, orally and in writing 5. Understand and follow written and oral instructions 6. Knowledge of basic government accounting procedures and requirements 7. Exercise sound judgment and perform tasks under pressure 8. Develop and maintain effective relationships with associates, elected officials, department heads and the general public 9. Must be able to work with confidential information 10. Valid Ohio driver's license 11. Must take the State Oath as identified in ORC Sec.5502.34 Essential Functions of the Position 1. Prepares correspondence, assembles reports and financial statements, processes purchase orders and vouchers, and track grant expenditures 2. Answers phones, directs calls, processes mail, establishes and maintains an effective filing system 3. Formats, types, prints, and maintains emergency plans, procedures, and public information materials, and assists staff with data entry 4. Provides assistance as needed during natural and technological hazard emergencies, exercises and drills 5. Advises and assists personnel in carrying out the general administration and planning of the EMA Program 6. Maintains current knowledge of the departments activities to better respond to officials, general public, or media inquiries 7. Maintains equipment and supply inventories 8. Performs operational checks on Emergency Operations Center equipment as directed Job Location Work is performed at the Courthouse and throughout Ottawa County. Travel is required within and outside Ottawa County for meetings, incident response, and training as job duties require. Equipment Used Motor vehicle, computer, facsimile, copier, audio/visual equipment, and ID software/hardware.
