GCS is the Global leader in the Corporate Payments Solutions space and subsequently continues to be an exciting and fast-growing business. GCS is a core operating group of American Express and has delivered robust growth over the past decade. GCS partners with small businesses and corporate clients to help them manage business expenses and make large purchases through proprietary payment solutions and expense management tools.
This position is responsible for administrative support to Vice Presidents in the Commercial Business Enablement division of GCS. This is a dynamic, high-paced environment and therefore the day-to-day responsibilities require seamless collaboration across a wide range of business partners.
The ideal candidate must be seasoned and experienced in handling a wide range of administrative related responsibilities including building strong relationships, being resourceful, and knowing how to navigate large organizations fluidly, all critical to success in this position.
Key responsibilities include:
Organize and proactively maintain calendars, including scheduling and re-scheduling meetings across multiple global time-zones.
Act as a point of contact for the VP, answering inquiries, scheduling requests and insights from others.
Respond to others on behalf of the VP, providing professionally written and spoken response that reflects the VP’s brand and desired intent. Make sure the VP is prepared for upcoming meeting objectives by confirming invites contain the necessary content, agenda and attachments, and ensuring the role of the VP in meetings is clearly defined.
Ensure VP has time scheduled in advance of critical meetings to prepare when necessary.
Coordinate travel including air, hotel bookings, ground transportation. Liaise with other Amex offices to schedule onsite meetings and manage last-minute changes, as may be required.
Support the onboarding of new team members to ensure systems access, technology provisioning and distribution list membership.
Process monthly expense reports on a timely basis in line with company requirements.
Ensure timely follow-up on issues, commitments, and deadlines for the team.
Communicate effectively with team members and associated departments.
Support Ad-hoc administrative and project work as directed by leadership.
Manage and maintain departmental distribution groups regularly and accurately.
Minimum Qualifications:
Demonstrable track record of supporting and working with leadership.
High School Diploma required
Ability to successfully and diplomatically interact with senior management and their support staff.
Strong written and verbal communication.
Excellent time management and organizational skills with a strong focus on speed and accuracy with an extraordinary attention to detail.
Proven ability to manage multiple priorities, work within deadlines, and execute across multiple initiatives/tasks.
Strong sense of teamwork with high personal accountability.
Proactively identify and anticipate problems, determine possible solutions, and actively work to resolve issues.
High level of proficiency using MS Office including Word, Excel, and PowerPoint, as well as internal AXP tools and systems – Cisco/WebEx, MS Outlook, Ariba, Reserve and Concur.
Strong interpersonal, relationship, and networking skills to build and maintain professional relationships across all areas of American Express.
Able to operate with a high level of integrity for handling sensitive and confidential information.
Reliable and dependable team player with a “can-do” attitude and enthusiasm to learn.
Ability to remain calm under pressure and effectively manage change upon short notice.
Qualifications
Salary Range: $24.05 to $48.10 hourly bonus benefits
