Position Announcement
Utah Valley University is looking for a part-time Administrative Assistant! The role involves offering administrative support to the department by answering phones, assisting visitors, and addressing or referring various administrative issues and inquiries. Responsibilities include operating and maintaining office equipment such as photocopiers, fax machines, and computers. The Administrative Assistant will also handle confidential administrative tasks and schedule appointments for the Academic Adviser.
Summary of Responsibilities
• Performs confidential administrative support duties, including composing routine correspondence, and obtaining information requiring knowledge of policies/procedures of both assigned and work related areas.
• Operates office equipment such as photocopier, fax machine, scanner, and calculator.
• Coordinates the preparation and submission of reports, publications, and newsletters.
• Provides administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries. ]
• Maintains and updates files, databases, records, and/or other documents. Develops and maintains data, and performs routine analysis and calculations for recurring internal reports.
Minimum Qualifications
Graduation from an accredited institution with an associate's degree and one year of experience or any combination of education and experience related to the Summary of Duties totaling three years.
Preferred Qualifications:
General knowledge of Philosophy and/or Humanities.
Knowledge, Skill, and Abilities
Knowledge
• Knowledge and experience working in an education environment.
• Knowledge of university policies, particularly regarding registration, adding courses, dropping courses, etc.
Skills
• Skills in the use of computers and computer software applications including Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Creative Suite.
• Skills in office practices.
• Skills in organization and database management.
Abilities
• Ability to communicate effectively with students, staff, faculty and public.
• Ability to perform a variety of administrative support duties with minimum supervision.
• Ability to meet and work with people of diverse backgrounds.
• Ability to prepare reports from raw data.
