What to Expect:
As a Divisional Coordinator, you will coordinate key events, meetings and activities. You will be working daily with the BEO of Beverages Canada, as well as their team with autonomy and support to really thrive!
A day in the life:
Provide executive level administrative assistance to the BEO and provide administrative support to broader team as required.
Support the team in coordination and planning of meetings and internal/external events, which includes developing and editing presentations, product ordering and other event details.
Manage BEO calendar, providing rapid response to meeting requests and highlighting urgent issues.
Manage meeting calendars for teams by booking the functional weekly/monthly/yearly meetings and building agendas. Where possible, anticipate room booking requirements ahead of time and using strong network connections to negotiate room switches as required.
Collaborate with Coordinators and Executive Assistants to facilitate meetings requests and coordination of key events.
Support BEO with external industry and stakeholder meetings.
Basic budget management including managing Purchase Orders, manage supplier billings and cross billing to other businesses.
Completion of expense reports and travel bookings.
Manage office supply budget keeping a tight rein on spending.
Maintain the current filing and data sharing systems (example, SharePoint) and look for ways to improve and automate current processes.
Build strong contact network within Nestlé to ensure superior response to team requirements.
Support onboarding and set up for new team members (hardware, meetings, orientation schedule). Time administrator to the team keeping track of all team absences.
Assistance with other projects as required.
Role Requirements
3 - 5 years’ experience as Executive Assistant/Coordinator level in a busy commercial environment.
University Degree or completion of a College Diploma.
Demonstrated ability to manage well under deadlines and multi-task effectively including prioritizing workload, balance requests from team and daily tasks, find solutions, and identify issues and opportunities.
Strong project management skills and the ability to follow through to completion.
Excellent verbal and written communication skills. Strong interpersonal skills required to work with cross functional teams and to communicate internally with employees at all levels and within all functions.
Outstanding organizational skills.
Strong commitment to maintaining strict confidentiality in all aspects of the role
Preferred Skills
Excellent computer skills, specifically PowerPoint and Excel, and Outlook. SAP would be a distinct advantage.
Positive can-do attitude, strong initiative and ability to work independently.
Sound judgement and critical thinking skills.
An interest in learning and understanding the business issues in order to maximize personal effectiveness.
