Summary This Lead Medical Support Assistant (LMSA) position is with the Associate Director- Patient Care Services of the Central Arkansas Veterans Healthcare System (CAVHS) - Eugene J. Towbin Healthcare Center located in North Little Rock, Arkansas. The Lead Medical Support Assistant (LMSA) is responsible for answering questions for lower graded staff relating to healthcare services in an inpatient or outpatient setting. The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues, and maintains efficient workflow. The primary duties of the Lead Medical Support Assistant (LMSA) may include but are not limited to: Assuring coverage of all areas of responsibility. Conducting ongoing reviews to ensure quality of work. Ensuring accurate and timely scheduling of appointments. Providing guidance to staff members, to include changes in policies and procedures. Distributing and balancing workload, Creating and maintaining employee work schedules. Orienting and providing on-the-job training for new and current employees Ensuring all training requirements are met. Organizing the work structure of assigned areas Acting as a liaison between MSA and staff to resolve day to day conflicts. Providing educational sessions to train new employees in clerical process in an efficient and effective manner to ensure that clerical processes, functions and goals are understood and met. Maintaining knowledge of VA policies, regulations, guidelines and process as they relate to the scheduling of patient appointments, consults, NEAR, Electronic Wait Lists, and pre-appointment clinical requirements (i.e. labs, EKGs, x-rays) to ensure readiness for the patient visit. Monitoring clinic's Access to care and ICB usage ensuring insurance is collected at time of appointments and captured appropriately by the scheduling staff. Assisting with the clean-up of the EARR (Encounter Action Required Report) and delinquent recall report. Supporting clinics regarding utilization and clinic profile management i.e. set-up of clinic grids, cancel and restore clinics. Screening and receiving phone calls in a courteous and timely manner, determining the nature of request and provide the information desired using privacy rules and established clinic processes. Preparing correspondence and memos as needed. Promoting Veteran registration for and utilization of MyHealthyVet (MHV). Stocking basic office supplies for the executive suite. Entering Veterans seeking emergent/urgent care, scheduling appointments accurately. Utilizing call lists and telephoning Veterans to pre-register before scheduled visits ensuring to update all patient demographics. Communicating and interacting with patients in a manner which is appropriate to cognitive, emotional, and chronological maturation needs of the adult and/or geriatric patient. Assuring that all appropriate VA forms are used correctly, and regulations followed. Working closely with the supervisor to handle scheduling problems and deviations based on the personal knowledge of clinic operations and medical center policy. Work Schedule: Typically Monday - Friday, 7:30 a.m. - 4:00 p.m. Days and hours may change based on the needs of the service. Experience and Education. (1) Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Certification. None required. Preferred Experience: Skilled in making routine administrative decisions and giving advice to the clinical team members in 4 administrative functions. Interpreting a wide variety of provider orders for inpatient and outpatient to include: request for diagnostic tests, medications, treatment activities, etc. Then transferring that request to appropriate forms and /or entering dates into Vista. Extracting documents for clinic visits. Checking in and checking out clinical visits, issuing meal tickets, setting up suspense files necessary for processing orders for recurring test, etc. Making proper notification in death cases. Work Environment: Work is performed in an office/clinic setting with minimal risks that requires normal safety precautions; the area is adequately lighted, heated, and ventilated.
