Job Description
General Scope of Duties
Provide administrative support to the Dean of the College, including managing office and reception responsibilities, scheduling and maintaining calendar, preparing travel arrangements, and coordinating events and meetings. Additionally, provide administrative support to the Dean of the College Office staff—the Dean of First-Year Students; Dean of Sophomores, Dean of Juniors and Seniors, Assistant Dean for Connections, Assistant Director for Academic Support, and the Assistant Dean of Fellowships Advising.
General Duties and Responsibilities
Maintain the Dean’s calendar; consult on scheduling conflicts; prepare materials for meetings as requested; arrange business travel for the Dean of the College including the preparation and submission of all reimbursement requests. Respond to inquiries from students, faculty, staff, trustees, parents and other constituencies, provide support when appropriate, and when necessary, route to the appropriate department for resolution (if other than the Dean of the College staff). Ensure timesheet submissions by DOC division members and approve them by payroll deadlines. Create a weekly DOC newsletter with college events, open houses and other opportunities for students. Regularly communicate academic requirements, deadlines and opportunities.
Oversee office management: hire, supervise and train student workers and provide work direction during the academic year and summer.
Coordinate programs on behalf of the Dean of the College Office and the Office of the President as needed (e.g., Honors and Awards, President’s Distinguished Lecture Series, Presidential Scholars, One Book, One Region) including scheduling appropriate locations, ordering equipment and food service, and providing publicity.
Support Fellowship advising and application activities (e.g., Mitchell, Marshall, Beinecke, Davis, Myers, Watson, ConnSSHARP) such as scheduling committee meetings, preparing materials, posting to portals, and notifying students.
Oversee financial transactions in the office such as preparing budgets; track and monitor budget expenditures and reconcile with accounting reports; order supplies, process invoices; approve p-card expenses. Keep track of summer housing (for students conducting research in the sciences) charged to the Dean of the College operating budget and report any discrepancies to the Accounting Dept. Provide reimbursement and expense tracking for various support initiatives (Co-sponsorship, Student Travel Fund, Student Support Fund)
Education and Skills
Associates degree required with 4-5 years of relevant experience, experience in office management in a higher education environment preferred.
Demonstrated Abilities:

Establish and cultivate professional relationships with a diverse range of internal and external constituencies (alumni, parents, donors, guests).
Work with and advise diverse college-age student population with sensitivity to and awareness of differing needs.

Provide attentive customer service.
Adjust quickly to changing priorities within the scope of the position.
Strong knowledge of social media and other communication tools.
Strong written and verbal communication skills.
High integrity necessary to handle confidential information.
Knowledge of general office equipment and filing practices.
Excellent attention to detail, budget management experience and strong computer skills (Microsoft Office, Excel, etc.). Possess a willingness to explore additional training when appropriate.
Well-organized, able to work under pressure, set priorities and plan and accomplish goals.
