Responsibilities:

  • Responsible for providing administrative assistance to the management team.

  • Provide support to other departmental managers for miscellaneous departments/functions as requested.

  • This position reports to the Plant Manager or Production Manager.

  • Responsible for calendar management, requiring interaction with internal executives and assistants, to coordinate a variety of meetings and conferences.

  • Arrange conference call and video conference meetings.

  • Schedule the use of training and conference rooms.

  • Arrange travel schedules and reservations for management as needed.

  • Provide assistance to other departments as directed by the Plant Manager.

  • Retrieve mail from the local post office and sort incoming/outgoing mail. Coordinate/provide communication of plant visits by Company and external guests.

  • Prepare, schedule and coordinate customer and executive factory tours with tour participants.

  • Assist in organizing and formatting information for presentations and reports. Manage, coordinate and support various plant initiated projects as assigned.

  • Plan and organize plant meetings.

  • Track and schedule TDD’s for plant.

  • Participate in plant team meetings and activities as directed by the Plant Manager. Organize and replenish office supplies as needed.

  • Act as back-up receptionist upon request.

  • Prepare, review, and summarize miscellaneous reports and documents, including expense and mileage reports, meeting and conference agendas, presentations, organization charts, and other miscellaneous correspondence as requested.

  • Create and maintain hard copy and electronic filing systems.

  • Act as back-up to prepare purchase requests for repair parts, supplies and facility projects upon request.

  • Update asset records database as equipment is purchased/sold.

  • Process preventive, predictive and unplanned maintenance work requests.

  • Act as back-up support for ISO documentation, portions of the EO process including tooling identification and lists, print distribution, and preliminary bom / routing work and data entry of Part Reviews within the EO Analysis Database.

  • Coordinate and serve in supportive role for Work Instructions and PDC gatekeeping/distribution.

  • Assist with MCS and inspection notifications process.

  • Perform other duties as assigned.

Qualifications:

  • 0-4 years related experience

  • Associate degree

  • Occasional travel (0-5%)

  • Occasional overnight stays (0-5%)

Preferred Qualifications:

  • A two-year degree or equivalent experience along with three to five years of comparable field experience.

  • Strong understandings of computer applications such as Microsoft Office are desirable.

  • Good organizational, interpersonal, as well as excellent communication skills are required.

  • A high level of maturity and decorum are necessary for this position to deal properly with confidential information and important phone calls
