Vanderbilt University 1st Shift Building Services Manager in Nashville, Tennessee

The Building Services Manager position directs institutional housekeeping program for buildings/facilities serviced by the 1st shift teams, which is made up of 104 buildings with approximately 2,170,913 square feet of cleanable area. Provide supervision, management, and technical support to 8 custodial supervisors and 146 front-line staff, to ensure compliance with university cleaning standards, sustainable cleaning practices, safe workplace practices, and applicable regulatory codes to maintain a clean and safe environment for students, faculty, and staff.

Plant Operations provides facilities support for all construction, renovation, emergency and routine maintenance of University Central space and facilities; housekeeping services for approximately 5.8 million square feet of academic, administrative, residential, and recreational space; grounds care for 330 acres that are a registered arboretum; turf care for athletic fields; and utilities for the University Central and the Medical Center. This position will report to the Assistant Director of Building Services for the Facilities Department

Key Functions and Expected Performance:

Manage and oversees administrative and operational activities of the Building Services 1st shift

  • Assign and manage the weekly building quality control program for all 1st shift buildings, consisting of one hundred and eleven, administrative, academic, and housing buildings. You will be responsible for inspecting one building per supervisor each week for an APPA level 2 inspection.

  • Manage the administrative activities for the 1st shift housekeeping department, to include, recruiting, disciplinary actions, monitoring of time and attendance transactions through an automated time keeping system; administer the union contract within area of responsibility.

  • Manage logistic actions in support of the department, supplies acquisition and distribution, equipment replacement, equipment maintenance program, equipment and supplies inventories and accountability.

  • Manage and track all 1st shift work order requirements and maintain work order status through AiM, automated work management system.

  • Manage and ensure that all VU required training standards for employees and supervisors, are met.

  • Responsible for initiating, coordinating, and managing emergency response of all facilities water restoration and mitigation actions of incidents.

  • Assign and manage the workflow for the Building Maintenance Technician team.

  • Manage the Vanderbilt University summer maintenance program for housekeeping, which includes all floor care, window cleaning, blind cleaning and detailed cleaning of all dormitories and A &S buildings assigned to 1st shift.

  • Assess the need of maintenance, repair, and improvements for compliance with the university standards.

  • Works closely with university schools and departments to monitor custodial services requirements and performance and responds quickly to correct custodial quality and services delivery concerns.

  • Ensures that every housekeeper employee and supervisor is in compliance with departmental policies and procedures.

Provide leadership and counsel to management team and staff

  • Develop and implement training and cleaning programs for supervisors and custodial staff

  • Ensure compliance with health and safety standards

  • Responsible for coaching and professional development of 8 direct report supervisors.

Financial Management

  • Manage expenditures against budget; prepare necessary documentation for supervisory review/approval, tabulate budgetary data, calculate figures, and check for accuracy

  • Oversee and manage procurement actions of subordinate supervisors

  • Manage and monitor operational overtime requirements of the department

  • Assist senior management team with establishing and maintaining the internal process for tracking purchase requests, vendor requests, and various programs

  • Stay current with VU operating systems: Concur, ePac, SkyVU, and others

Supervisory Relationships:

This position does have supervisory responsibility of 8 Custodian Supervisors this position reports administratively and functionally to the Assistant Director for Building service.

Education and Certifications:

  • High School diploma or GED is required

  • Bachelor’s degree is preferred

  • Valid Driver License is required

    Experience and Skills:

  • 5 years of supervisory or management experience leading a team of at least twenty personnel is required.

  • Must have strong organization, communication and interpersonal skill, relevant technical and functional expertise, leadership, and personal effectiveness.

  • Multitask management, quality assurance and customer relations skills are also essential for this position.

  • Basic computer skills and working knowledge of MS Word, Excel, and Power Point.

  • Knowledge of Oracle, AIM and Kronos is preferred.

  • Must be able to work Weekends
