Description
We
are seeking a skilled Administrative Assistant to provide support for patients and clinicians at the Simms Mann Center. Act as first point of patient contact to orient patients to
the Center and maintain the appearance of the Center by keeping general areas,
front lobby, kitchen etc., clean and welcoming to Center visitors.
In this role, your duties include
but are not limited to:
Fielding incoming communications by monitoring the main phone line and email.
Inputting contact notes into Care Connect utilizing specialized templates.
Processing and ordering supplies for the Center utilizing Bruinbuy or other purchasing software.
Assisting with patient support group, education, and mind-body classes development, registration, and implementation.
Preparing administrative paperwork.
Assisting Director and Administrators with generation and distribution of written materials for patients and public.
Responding to general information inquiries about the Center's programs and procedures.
Additionally, you will coordinate
patients of the Integrative Medicine Program, including explaining program to
patients, preparing charts, pulling appropriate medical records, scheduling
appointments, performing follow-up phone calls, triaging STAT referrals, acting
as liaison to Psychiatry scheduling departments, documenting in patient
records, and other responsibilities as needed to ensure best possible patient
care experience. Communicate regularly with Director, Administrative team,
Development Director, Website Strategist, and clinical team to maintain Center
and website calendars, coordinate patient-facing communications, and promote
Center events and services. Provide administrative support to Director and
other staff as needed to implement programs. The ideal candidate must have the
ability to multi-task, handle frequent interruptions, and organizational skills.
Salary offers are
determined based on various factors including, but not limited to,
qualifications, experience, and equity. The full hourly salary range for this
position is $28.23 - $40.44.
Qualifications
Required:
Skill in assuming responsibility for and managing multi-leveled database on timely and accurate basis.
Skill in working independently and following through on assignments.
Demonstrated organizational skills and ability to work effectively and accurately under conditions of heavy workload, frequent interruptions, distractions, and deadlines.
Excellent word-processing, data entry and typing skills to maintain data bases and to prepare reports with speed and accuracy.
Excellent English writing skills sufficient to compose and proofread copy for appropriate grammar, spelling and punctuation.
Excellent English verbal communication skills to interact courteously and effectively with Center staff, faculty, patients and their family and volunteers.
Ability to convey warmth and caring in interpersonal interactions with patients and families. Ability to feel comfortable working around patients with a cancer diagnosis.
Demonstrated ability to use IBM-compatible computers and software such as CareConnect, Microsoft Word, Filemaker, Windows, Outlook, PowerPoint, and Excel software to prepare documents and to update computerized databases.
Ability to, as needed, work some overtime, evenings and weekends for Center's program activities and special events.
