Argonne National Laboratory Directorate Executive Assistant in Lemont, Illinois

We invite you to apply for the Directorate Executive Assistant following a retirement. In this role, you will provide administrative support to the Associate Laboratory Director (ALD) for the Science and Technology Partnerships and Outreach (STPO) Directorate. You will also:

  • Exercise sound judgement and independent initiative, handles the day-to-day operations and work flow of the ALD’s office.

  • Perform a wide variety of administrative and general support duties often of a highly sensitive nature.

  • Effectively communicate the transfer of verbal and written information; arranges and provides support at meetings, conferences, and workshops.

Responsibilities may include coordinating and scheduling of meetings, preparing domestic and international travel arrangements and expense reports, compiling and formatting presentations, reviewing forms for ALD approval, tracking expenditures, and planning and coordinating onsite and offsite visits, meetings, and workshops. Success in this role we be demonstrated strong ability to collaborate and interact professionally with others, multi-task and handle unexpected or urgent requests, and anticipate needs of the ALD.

Position Requirements

  • Minimum education and experience or equivalent combination of a high school diploma and 10 years or an Associates degree and 8 years of administrative experience is required.

  • Organizational skills including the ability to prioritize workloads, handle multiple assignments for multiple areas, manage time, and the ingenuity and creativity to solve problems independently.

  • Skill in scheduling appointments, arranging meetings, planning workshops and conferences, and coordinating onsite visits for others or offsite visits for ALD.

  • High attention to detail.

  • Ability to maintain high confidentiality.

  • Excellent verbal and written communication skills and skills in building interpersonal relations.

  • Knowledge to make decisions independently.

  • Ability to prioritize workloads and competing priorities.

  • Experience in directing internal and external input for Laboratory-wide projects.

  • Complete understanding of word processing, spreadsheet and database programs and applications including MS Office Suite.
