POSITION SUMMARY

To ensure smooth office operations and act as main point of contact for the assigned Nestle site(s). Oversee company procedures and day-to-day facility operation by managing suppliers. Support Nestles values by implementing office guidelines, “green” initiatives and providing regular feedback on the facility management companies performance. Get involved in related real estate transactions and capital projects if necessary (e.g. moves, refurbishment) and coordinate activities on site level. Keep track of general consumables (e.g. cleaning and hygiene, pantry, stationary) and related administrative tasks such as PR/PO/GR creation. Ensure that pre-defined financial targets are met and participate in budget forecasting exercise.

A DAY IN THE LIFE …

  • Workplace practices

  • Develop site level implementation plan as per operational gaps, local business requirements

  • Get involved in facility health and safety matters in cooperation with in-house SHE team

  • Set and deploy local targets based on regional/country targets (incl. portfolio efficiency, workplace standard and if applicable sustainability targets)

  • Financial acumen

  • Preparation of annual location budgets as per contracts; services agreements, maintenance plan, asset replacement plans

  • Safeguarding the pre-approved annual budgets are not exceeded, achieve pre-set savings targets

  • Tracking of spend and cost bookings in owned cost centers and initiate necessary changes in alignment with the F&C organization

  • Overlook the fixed asset transfers upon project closures and active involvement in the annual asset inventory reviews

  • Lease management

  • Tracking of existing lease contracts and initiate timely actions for renewals, lease extensions, disposals

    • Initiate timely rent payment to Landlords
  • Capital projects

  • Act as primary interface with Landlord, local stakeholders and other support functions on site level (HR, IT, Security)

  • Provide feedback from facility management perspective and actively participates in project activities

  • If necessary, follows up on PR/PO/GR/IR in relation to projects

    • Act as main point of contact for employee communication
  • Workplace service delivery

  • Monitor all facility services as per defined KPIs and scope of local FM service contracts, payment and change terms

  • Provide regular office performance reporting review and analysis to oversee the operations of third-party service providers

  • Understand local health and safety requirements and ensure compliance with local regulations and/or Nestle standards

  • Monitor deliverables by Landlords (maintenance and repair of critical building assets, fire safety standards)

  • Make arrangements for site level end user surveys, interprets results and prepare recommendations accordingly

  • Manage local workplace communication with internal Communication team, business and end-users

  • Execute on Sustainability targets (if applicable), energy monitoring and promote sustainable building solutions.

What will make you successful…

  • Minimum 3-5 years’ experience in facilities management

  • Good verbal, written and presentation communication skills with the ability to communicate with a wide variety of audiences.

  • Client relationship and senior stakeholder management / client service experience is required.

  • Experienced in financial management and budgeting while identifying cost savings/avoidance.

  • Good knowledge of local health and safety standards and regulations.

  • Team management experience is preferred.
