Willamette Dental Client Service Specialist in Tumwater, Washington

Position Summary

The Client Service Specialist will provide administrative support to the Sales team by providing exceptional customer service and support to clients. The Client Service Specialist will assist Account Managers with various reporting, documentation and analysis.

This is a Remote position.

Essential Position Functions

  • Support Key Accounts by attending board meetings, managing incoming meeting requests, and assist with projects as neeed.

  • Support Sales and key accounts with administrative tasks: process New Group Case Reports and send out renewals, Experience Reports, Schedule A’s, Sales Reports, Performance Guarantees, packet requests, etc.

  • Coordinate and participate at benefit fairs/open enrollment presentations.

  • Establish strong working relationship with brokers. Appoint brokers and process appointments through appropriate State Insurance Office.

  • Update Dynamics CRM and retain critical documentation. Analyze account information and make suggestions and recommendations as deemed necessary.

  • Problem solve with various group challenges that arise and balance being an advocate for both the Company and the account.

Non Essential Position Functions

  • Additional duties as assigned.

Job Qualifications

Education and Experience

Bachelors degree in Business Administration or a related field and three years of experience in customer service, client relationship management, or sales: OR the equivalent combination of education and experience which will provide the ability to perform the essential functions of the position. Experience in healthcare or insurance field preferred.

Licenses, Certifications and Registrations

  • Must have a valid drivers license for operation of a motor vehicle in Oregon, Washington and/or Idaho and possess an acceptable driving record.

  • Must have a State insurance license in good standing in Oregon, Washington and Idaho, or become licensed immediately following employment.

Knowledge of:

  • Strong working knowledge of the healthcare industry preferred

  • Microsoft Dynamics CRM or similar CRM Database Management

  • Microsoft Office (Word, PowerPoint, Excel, etc.)

Skill In:

  • Critical thinking and the ability to support a fast-paced team culture.

  • Interpersonal, written, and verbal communication methods.

  • Organization and multitasking.

Ability to:

  • The ability to manage multiple projects at one time

  • Appropriately direct internal and external inquiries.

  • Maintain a high attention to detail across several simultaneous projects and timelines.

  • Understand how business needs and sales and communication needs align.

  • Work harmoniously and independently with a diverse, multidisciplinary team environment.

  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

  • Quickly adjust priorities when required.

  • Handle many diverse projects at once and meet tight deadlines.

  • Ability to travel overnight and work extended hours during key times, dependent upon business need.

Physical Requirements:

The work is primarily performed while sitting and/or standing, but will require occasional walking, bending, stooping and carrying light items such as papers, books, or other supplies. The incumbent uses a computer and other standard office equipment to complete tasks. This position may be eligible for a Hybrid work schedule.
