BAE Systems Administrative Project Analyst in Hill AFB, Utah

Job Description

BAE Systems is seeking an exceptional Administrative Project Analyst for an exciting opportunity to support the United States Air Force Minuteman III weapon system sustainment efforts and transition efforts to the next generation Inter-Continental Ballistic Missile (ICBM), the Sentinel.

The Administrative Project Analyst will support the Senior Manager and Program Manager. This position will act as the administrative focal point and will be responsible for providing analytical and specialized administrative support for complex and advanced administrative duties. The Analyst must be professional, innovative, proactive, self-motivated and able to meet deadlines and juggle multiple tasks in this fast-paced environment. The position will require the ability to use a high degree of tact and diplomacy in handling matters of that are critical or confidential in nature. Additional responsibilities and opportunities exist to lead and support critical projects within the department and work with a highly skilled team providing critical logistical support and data analysis expertise to the ICBM Systems Directorate, United States Air Force.

Additional responsibilities include:

  • Support the Senior Manager and Program Manager of Supply Assurance Management as the administrative focal point.

  • Perform tasks across the Project Management processes of initiating, organizing, integrating, planning, managing & controlling, developing and completing projects or programs. Track progress to financial, schedule, technical and/or new business performance objectives. May support new business development activities and participate in developing strategic and financial plans for assigned business area

  • Maintain calendars, arrange meetings and appointments. Maintain and track meeting action items through completion

  • Manage communications with senior level internal and external customers.

  • Coordinate, facilitate, and provide support for various conferences, small- and large-scale meetings and events with a high degree of tact and diplomacy. Manage Telecon and Webex connections and coordinate Telepresence meetings

  • Maintain office supplies that are essential for successful operation for the department. Perform general administrative duties including but not limited to: typing, copying, collating, stapling, preparing packages for delivery, filing, record-keeping, and data entry

  • Lead and assist with creating PowerPoint presentations, Excel files and other common technology tools for business meetings and others documents as required. Support metrics analysis and Sharepoint coordination

  • Coordinate domestic travel for the Senior Manager designated staff through the travel coordinator. Manage travel arrangements and expense reporting

  • Effectively communicate internally and externally at all levels while building mutually beneficial relationships

  • Perform project analysis and update plans to achieve milestones

  • Support resource management activities

  • Update, organize, and maintain SharePoint process asset libraries

  • Facilitate communication between government customers including program offices and BAE team members

  • Plan and execute meetings, including distribution of agendas, compilation of meeting minutes and tracking action items

  • Support government instituted processes for documentation, change control management and data management.

  • Provide high-level support that oversees progress of the entire project

  • Become the Point of Contact and Project Lead for running a project or group of projects.

  • Coordinate the efforts of team members, assign action status tasks, and manage stakeholder expectations throughout the project lifecycle

  • Work independently with minimal guidance

Required Education, Experience, & Skills

  • Bachelor's degree with a minimum of 2 years of relevant experience OR in lieu of a degree, must have a minimum of 10 years of relevant experience

  • Advanced level proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook, and Teams

  • General knowledge of computer hardware and office equipment

  • Scheduling and financial acumen with an emphasis on accuracy and attention to detail

  • Produce graphical and informative PowerPoint presentations

  • Experience taking meeting minutes/notes and generating reports

  • Ability to organize and lead meetings

  • Developing new applications based on professional principles and theories

Preferred Education, Experience, & Skills

  • Ability to learn job-related material through on-the-job training

  • Strong written and verbal communication skills, including the ability to articulate and escalate issues as needed

  • Developing advanced concepts, techniques and standards

  • Experience managing projects

Pay Information

Full-Time Salary Range: $78930 - $134190

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
