Robert Half Associate Contracts Administrator in Fort Collins, Colorado
Description We are offering a long-term contract employment opportunity for a Document Controller in Fort Collins, Colorado. This role is pivotal in supporting the operational efficiency of our business team, particularly within the Contracting department. The Document Controller will be instrumental in managing customer inquiries, reviewing purchase orders in the ERP system, and providing critical support to our remote sales team. This role also entails a significant amount of documentation preparation and sales data analysis.
Responsibilities:
• Ensuring the accuracy of order compliance functions by providing support to customers, sales support, Business Operations Manager, and the Director of Contracts.
• Assisting in the maintenance of communication with customers regarding required contractual information for purchase order acceptance.
• Taking charge of the documentation, record keeping, and validation of purchases and contracts using INFOR, shared drives, Salesforce.com and other IT systems to effectively minimize risk.
• Collaborating closely with the Programs and Operations team to ensure smooth operations.
• Providing guidance to customers on shipping terms and supporting the shipping team.
• Acting as the bridge between Sales, contracts, and the customer.
• Handling administrative tasks such as updating calendars and coordinating meetings.
• Supporting customers in a contracts capacity as required, including answering phone calls and reviewing FAR and DFAR requirements.
• Assisting with the preparation of weekly sales meeting minutes and any necessary follow-ups.
• Ensuring data integrity across INFOR, shared drives, Salesforce.com and other IT Systems for documentation and record keeping purposes.
• Supporting the exportation of system components in compliance with all federal laws and regulations. Requirements
• Candidate must have experience with government and defense contracts.
• Candidate must possess strong auditing skills, with a keen eye for detail and an ability to identify discrepancies or inaccuracies in documents.
• Proficiency in budget processes is required, including planning, tracking, and adjustment of budgets as necessary.
• Experience in contract administration is necessary, with an understanding of how to manage contractual agreements and obligations.
• Understanding of contracting processes is essential, including the creation, review, and negotiation of contracts.
• Knowledge of contracts is vital, with the ability to interpret various contract terms and conditions.
• Candidate must be skilled in database administration, with the ability to manage and organize large volumes of digital and physical documents.
