WHAT TO EXPECT As an innovation leader, we look for ambitious, forward-thinking, open-minded, and well-rounded individuals to join our global team. Located in our downtown Denver office, this role will report to executive leaders in Treasury and Tax and help support the direct reports for those departments.
Key responsibilities: Act as the gatekeeper and administrative support for the Treasury and Tax departments, including managing calendars/events, records retention and storage room coordinator, preparing certain expense reports, coordinating mailings and invoice payments, and acting as notary public for certain document Responsible for preparing and timely filing approximately 84 annual reports for various states due throughout the year. Execute department purchasing activities. Build and maintain databases either created by this role or by others (e.g., Bank Mandates, User entitlements, shared drives). Coordinate approval of expenses prior to sending to accounts payable. Act as Administrator of Treasury systems including managing the global bank mandate processes and approvals. Responsible for setting up and the coordination of department related contract reviews by the Legal department and acquiring appropriate signatures on all Tax & Treasury related agreements. Work with the Cash Management team on all third-party setups and daily payment approvals. Acts as a project manager for special projects which may include: planning and coordinating multiple presentations, disseminating information, and organizing events. Execute special or ad hoc projects as needed. Backup to executive assistants in the C suite and to the mailroom lead. Responsible for day-to-day administration of the Gates Corporation Foundation- Matching Gifts Program, including form completeness verifications and liaise with charities, as well the check production and mailing process. Periodic activity related to collection of company owned life insurance benefits, including liaising with the insurance company and the collection of required information from multiple sources. Act as main point of contact for HQ facilities requests and scheduling service providers.
ABOUT YOU 4+ years' experience supporting leadership in roles with progressive responsibility. Demonstrated a high level of integrity, discretion, and interpersonal skills to handle sensitive and confidential situations and information. Maintain a high level of professionalism at all times. Must know a variety of computer software applications in word processing, spreadsheets, databases, and presentation software (MS Word, Excel, PowerPoint, Visio). Strong team player who will proactively step in to support other team members as needed with a collaborative approach. Able to work well under pressure, effectively handle conflict, and demonstrate flexibility in work style to accommodate changing priorities and fixed deadlines. Demonstrated ability to interact and communicate with internal and external business partners. Demonstrated ability to interpret data and provide meaningful information to management. Self-motivated, able to make decisions without guidance, capable of seeking quality solutions and continuously focusing on process improvements, while keeping the needs of the business in the forefront. Demonstrated ability to juggle multiple competing tasks and demands. Excited to work in office with great tea mates.
