Pet Food Express Accounts Payable Manager in Concord, California

Pet Food Express is seeking a highly skilled and experienced Accounts Payable Manager to lead AP operations within the finance team. The Accounts Payable Manager is responsible for overseeing the end-to end AP function, the accurate and efficient processing of invoices, managing vendor accounts, and ensuring timely payments. Reporting to the Controller, this role plays a key role in financial records & reporting, process optimization, system improvements and upholding strong relationships with vendors. Additionally, this will provide leadership and mentorship to a team of 5-7 AP team members, guiding their development and enhancing team performance. This position requires strong organizational skills, leadership skills, analytical mindset, and the ability to work collaboratively in a fast-paced environment.

Please Note: This position is a hybrid role, involving on-site work each week at our corporate headquarters in Concord, CA. Candidates who are fully remote or outside of reasonable commuting distance will not be considered.

Responsibilities:

  • Leadership and Team Management:

  • Supervise and mentor AP team members, fostering a culture of accountability, collaboration, and continuous improvement.

  • Evaluate current AP processes and systems, identifying opportunities for automation and efficiency improvements.

  • Develop and monitor key performance indicators (KPIs) to measure AP effectiveness.

  • Accounts Payable Operations:

  • Oversee the full AP cycle, including invoice processing, vendor payments, and reconciliations.

  • Ensure timely and accurate payment processing in compliance with company policies and regulations.

  • Maintain vendor relationships, resolve payment discrepancies, and address inquiries proactively.

  • Process Optimization & Compliance:

  • Identify and implement process improvements to streamline accounts payable operations.

  • Leverage technology and ERP systems to drive automation and enhance efficiency.

  • Partner with cross-functional teams to implement system upgrades and integrations for improved AP workflow and optimize payment strategies.

  • Compliance:

  • Be the project lead on filing 1099’s, business licenses, and personal property taxes for all stores

  • Ensure compliance with internal controls, policies, and applicable local, state, and federal regulations.

  • Work closely with auditors during internal and external audits, providing necessary documentation and reports.

  •  Financial Reporting & Month-End Close:

  • Manage accounts payable accruals, reconciliations, and journal entries for month-end and year-end closing.

  • Provide financial analysis and reports on accounts payable trends, cash flow projections, and cost-saving opportunities.

    Qualifications:

  • Professional Experience and Education:

  • Minimum of 5+ years of experience in accounts payable in a similar role, with at least 2+ years in a managerial or supervisory role.

  • Bachelor's degree in accounting, finance, or related field preferred.

  • Certification in Accounts Payable is a plus.

  • Experience in retail is a plus.

  • Technical Skills:

  • Advanced skills in Microsoft Office Suite, especially Excel (pivot tables, VLOOKUPs, data analysis).

  • Strong proficiency with enterprise resource planning (ERP) systems.

  • Analytical and Problem-Solving Abilities:

  • High level of accuracy and attention to detail in processing invoices and payments.

  • Ability to analyze financial data, identify trends and issues, analyze root causes, and propose effective solutions.

  • Leadership and Communication:

  • Proven ability to lead and develop high-performing teams.

  • Excellent communication and interpersonal skills, with the ability to engage with stakeholders at all levels.

  • Adaptability and Integrity:

  • Ability to adapt to changing priorities and work effectively in a dynamic environment.

  • Maintain confidentiality and uphold ethical standards in handling financial information and transactions.

  • Regulatory Knowledge:

  • In-depth understanding of industry-specific accounting best practices and regulations.

    The salary range for this position is expected to be $100,000/yr-$120,000/yr. Pet Food Express determines starting salary based on many factors, including but not limited to, local market rate, the qualified pool of candidates, internal compensation practices, a candidate’s actual skills and experience.
