Focus on the Family Guest Relations Scheduling Coordinator in Colorado Springs, Colorado

The Guest Relations Scheduling Coordinator position exists to perform diversified functions in key administrative duties, including social media, in addition to representing FOTF by greeting guests, providing organization information, serving in various capacities in the Welcome Center, and conducting tours; requires general supervision and refers questionable matters to supervisor.
Essential Duties/Responsibilities:
Social Media:
Manages creative requests, oversees content, and provides feedback to creative teams for all content destined for social media
Monitors, supports, and continually improves content journey across organic and paid social media
Generates high-level reporting, insights, and analytics to track KPIs and results
Scheduling:
Develops and manages execution of daily Guest Relations electronic schedule for lunch breaks, slide stations, desks, floaters, and other stations as necessary
Coordinates weekly team time sheets, time off and vacation scheduling for Guest Relations; refers approvals and disapprovals to supervisor
Maintains KYDS Radio master electronic schedule with staffing, technical requirements, and booking guests
Books and maintains room schedule and other areas under Guest Relations’ area
Maintains a team access calendar of internal and external events for Guest Relations team reference
Acts as a liaison to the Events department
Schedules Guest Relations meetings and miscellaneous team events or opportunities as necessary
Tour Host/Hostess:
Greets, ministers to, and assists guest(s), which may include providing information, directing visitors for tours, broadcast tapings, or appointments
Conducts ministry tours in whatever form as required by Focus on the Family leadership
Monitors and implements security/safety procedures with guests, at the top and bottom of the slide, general crowd control; alerts Security to difficult and/or hostile visitors
Monitors and operates Welcome Center including theater, and performs special duties pertaining to Kid’s Korner & Discovery Emporium
Provides hospitality and assistance for special events of the ministry, including after-hour events
KYDS Radio:
Is responsible for operating technical portion of producing CDs for KYDS Radio, and ensures security and well-being of children
Administrative Support
Stocks magazines and other complementary materials/resources for guests
Receives, sorts, and distributes incoming mail for appropriate distribution; may research and assemble background materials required for response
Creates, maintains, organizes, and ensures security of office and computer files containing records, reports, etc.; supplies information from files as requested; maintains front desk manuals, logs, and computer files
Operates and inputs data into computers using existing software; uses data to develop reports and presentations
Performs other administrative duties including appointment and conference room scheduling, making travel arrangements, and preparing expense statements, maintaining information, files, tour books, scheduling information, preparing semi-routine correspondence, reports, and forms
Reception:
Serves as FOTF information specialist to guests (its history, objectives, ministries, budget) by researching questions and providing answers
Serves as diplomatic "buffer" for employees from visitors who do not have appointments
Arranges special unscheduled tours/visits for the ministry when possible
Enforces and implements security/safety procedures; alerts security personnel to difficult and/or hostile visitors
Answer questions concerning past and present FOTF leadership in a manner that would not jeopardize privacy, safety, or well-being
Interfaces with other departments within the ministry and/or outside contacts to exchange information, answer inquiries, consult on problems, and secure cooperation or approval on action to be taken
Takes reservations for Broadcast tapings, checks in guests on day of taping, and ensures seats are available for all those who have reservations
Answers, places, screens, and refers calls efficiently and cheerfully; takes messages and responds to inquiries by providing appropriate information
Trains volunteers and employees who assist with front desk coverage
Tabulates, records, and forwards the number of guests, appointments, and walk-ins for the day
Creates and posts the Welcome Board daily, and makes changes as needed
Other Duties/Responsibilities:
Ministers to and prays with guests as opportunities arise; Serves as a floater, to fill whatever position is needed
May engage with guests while wearing one of the various character costumes; Cross-trained as First Aid Responder, and Fire Warden
Works with other Guest Relations staff to effectively build a strong team environment
Managerial Breadth/Scope of Job:
Leads team in manager’s absence

Occasional holiday and weekend work is required
Ability to walk across the parking lot several times per day, including in adverse weather conditions; Ability to stand, walk, and speak for long periods
Ability to lift 20-30 pounds

Knowledge/Experience:
1-2 years of college and/or equivalent experience
3-6 months of office experience or customer service experience, and 2-4 years of experience in dealing with the public
In depth knowledge of FOF mission, philosophy, values, and objectives
Skills, Abilities and Special Talents/Gifts:
Video, writing, photography, and/or graphic design skills
Clear and effective writing and editing skills; Strong organizational skills; Strong computer skills
Ability to handle organizing, executing, and analyzing multiple marketing activities and social media campaigns at once in a deadline-driven environment
Ability to acquire new technical knowledge with ease
Ability to work well in a team, to shine as an individual, and to maintain a sense of humor
Ability to analyze data based on logical thought processes
Ability to think creatively

Coaching and client management skills preferred

Technical expertise of reporting tools, Microsoft Office, and other scheduling technology as required

Pay Range: $17.00 to $19.75/hr
