About the Department
General surgeons at the University of Chicago Medicine focus on a broad range of diseases, including various types of cancer, endocrine disorders, esophageal diseases, bariatric surgical treatment, breast diseases, and more. In treating this wide spectrum of diseases, our surgeons are also trained to use minimally invasive techniques, including robotic and laparoscopic approaches, to ease the patient\'s surgical experience. Our surgeons also work in close collaboration with experts across the hospital to ensure each patient receives the care he or she deserves to achieve optimal outcomes.
The research endeavors by faculty and investigators in the Section of General Surgery are just as wide and varied as the diseases they treat. In addition to their numerous outcomes-based research projects, our investigators are busy with complex basic science questions that will one day allow physicians to deliver better care to all patients. These scientific endeavors revolve around uncovering the pathophysiology of infections, genomics and physiology of pancreatic cancer, and much more.
Job Summary
Under general supervision from the Section Administrator, the Operations Manager is responsible for the daily operations of multiple sections within the Department of Surgery. Represents each section on business affairs. May assist in developing and executing business plans.
Responsibilities
- Leads and supports projects and/or program development and implementation. Effectively interacts with both internal and external executives and staff, as well as consultants, to create projects and/or program design and ensure the success of projects and initiatives. Coordinates logistics of major events, and assists in planning events. Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
- Oversees management of day-to-day financial processes, payment of invoices, the purchase of goods and services, and the processing of reimbursements. Monitors and reconciles accounts. Researches, compiles and analyzes data to create reports, presentations, proposals and other documents, including, but not limited to operational, financial and monthly reports. Ensures compliance with relevant University policies and guidelines.
- Responsible for day-to-day office management. Develops and implements office procedures and policies. Develops and manages communications by assisting in creating and revising program materials, including brochures and website content under direction of Section Administrator. Manages physician and staff absences and responsible for coordinating gaps in coverage. Oversees and maintains the physical office space, ordering equipment, repairs and upgrades. Leads administrative staff by providing guidance and ensuring consistency and compliance on calendar, itinerary and other day-to-day administrative responsibilities. Provides coverage during gaps in administrative coverage due to absence, leaves of absence, vacancies, etc.
- Coordinates staff and faculty recruitment and on-boarding efforts. Conducts candidate phone screens, ensures seamless interview experience, solicits reference checks, and communicates/tracks on-boarding and training process. Coordinates the timely submission of credentialing and re-credentialing packets.
- Professionally supports the clinical department management. Implements plans for clinical educational programs and initiatives.
- Assists faculty in the pursuit of grants and awards. Conducts special studies and projects, including the de elopment and enhancement of funding opportunities by working closely with the faculty in the section.
- Acts as a liaison between the section and other University departments.
- Performs other related work as needed.
Minimum Qualifications
Education:
Minimum requirements include a college or university degree in related field.
Work Experience:
Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.
