Your role at Clorox:

The Executive Assistant will be responsible for providing executive support to the highest levels within the Canadian organization (CLT). This role is responsible to understand the structure and operation of the company to manage the CLT’s meeting cadence, prioritize & respond to inquiries, and resolve issues with minimal supervision or follow up acting independently and proactively. This role will collaborate with and support communications and initiatives across the Organization.

In this role, you will:

  • Closely support the CLT leaders, performing advanced level proactive support including calendar management, planning appointments and events, arranging travel, conducting research, and preparing presentations and reports.

  • Executes and carries out a wide range of support activities to relieve and assist the executive of complex details and advanced administrative support.

  • Effectively manages CLT meeting cadence with internal and external parties (i.e., Exec leaders, external boards, vendor community, etc.) Handles CLT travel schedule, arrangements, and expenses (as desired by team).

  • Independently handles complex, diverse, and confidential responsibilities in support of the VPGM and CLT members (as desired), including but not limited to coordinating activities, preparing presentations and/or reports, and proactively managing key events and meetings among multiple executives and teams.

  • Analyzes problems, determines approach, compiles and analyzes data and prepares reports/recommendations. Proactively communicates with high level executives, and their administrative support, across the entire organization as well as externally. Communications are complex, highly diverse, and extremely confidential in nature. Tracks, follows through requests, manages paperwork (eg: supplies, preparation and submission of expense reports), and handles correspondence/emails as requested

  • Organize, plan and coordinate various meetings, seminars and conferences to ensure all required materials and catering requirements are provided (weekly CLT meetings, YBM, etc)

  • Proactively manage and coordinate relationship with third party organizations related to travel and fuel cards. Support with GMs organizational communication: formatting, gathering input, editing as required and any approvals. Special projects and assignments as required.

  • Key Responsibilities may include other related duties as assigned including general administration (getting meeting rooms ready, clean up, employee gifts/flowers, processing payments, flight pass, etc.

What we look for:

Years and Type of Experience:

  • +5 years proven experience within a similar role or capacity

  • Executive administrative supporting multiple senior leadership positions experience is required

  • High degree of computer proficiency (Word, PowerPoint, Excel, Lotus Notes). Use available software to increase efficiency.

Skills and Abilities:

  • Strong attention to detail. Ability to complete work with high level of speed and accuracy.

  • Strong verbal and written communication skills for presenting information in a clear, concise manner. Ability to compose correspondence for release without manager proofreading.

  • Outstanding time management and organizational skills. Ability to coordinate work, set goals, plan and prioritize tasks effectively in a fast-paced environment. Ability to shift priorities when a situation changes.

  • Take initiative by going beyond assigned tasks and offer to take on greater responsibility/new projects, offering suggestions for improvements, making changes where needed.

  • Strong social skills and a comfort in dealing with external contacts, often at a very senior level. Ability to maintain performance and composure in stressful situations.

  • Ability to work with very limited supervision.

  • Eagerness and initiative to tackle issues and resolve them independently.

Education Level/Degree:

  • Diploma or degree in Administration and/or Business or equivalent working experience.
