Job Description
The Proposal Coordinator is a key part of AECOM ’s regional Major Pursuits Team . They will use their experience and expertise to support the Associate Bid Director or Bid Manager leading the bid, having read and understood the client requirements. This position requires a strong communicator with excellent attention to detail, with the ability to evaluate, monitor and present information and data. Our bid coordinators have solid problem-solving and organisational skills, and take a practical and proactive approach to their work.
The Proposal Coordinator works effectively in a challenging and dynamic environment, thriving under deadlines and completing tasks to a high standard.
Responsibilities:
Organise and coordinate key activities at positioning stage, including win strategy workshops
Work with the MPT bid lead and capture manager to help mobilise the agreed technical, work winning, commercial and marketing resources ahead of procurement
Ensure the effective use of work winning process and tools, for all bids, to optimise the opportunity of winning
Develop and coordinate key ongoing PQQ and tender activities, for example governance schedule, bid programme, online collaboration space, bid folders, progress tracker, actions, TQs etc.
Review PQQs, RFPs and other related documents and coordinate the development of winning responses
Source and review existing content and provide the Bid Manager with relevant information
Prepare templates, CVs, case studies and occasionally storyboards
Work with bid contributors to manage and monitor progress
Flag risks to the bid lead and support the team with progress monitoring against identified risks
Ensure a winning, compliant, error free document arrives with the client in the correct format, meeting the deadline
Assist in the preparation of presentations for specific pursuits
Manage the bid close-out process, post-submission
Coordinate our internal debrief and lessons learned activities and provide personal input to bid-specific sessions
Qualifications
Several years' experience in bidding within the built environment
Preferably degree level educated (ideally English, Marketing, Business Studies)
Experience owning entire bid process.
Strong planning, bid management and organisational skills.
Excellent communication, articulate and demonstrates strong interpersonal skills i.e. verbal and written communications.
Excellent attention to detail
Proven ability to work under pressure, delivering high quality work consistently against tight deadlines.
Confidence to liaise effectively with all levels of management, both internally and with clients/prospects. Able to build and maintain relationships.
Proficient in Microsoft Office applications including Word, Excel, PowerPoint, InDesign, Photoshop and Illustrator
APMP foundation accredited preferred.
Additional Information
While this is a hybrid role with limited office attendance, it requires flexibility to co-locate or travel to other cities as needed, depending on the locations of bids or project requirements.
