    Your Impactful Role

The Business Office Manager is responsible for managing and coordinating the operations of the Business Office for POSC/POSC-P/POSCN. This role includes overseeing front desk operations and customer service, scheduling surgical procedures, maintaining patient medical records, and purchasing office supplies and patient convenience items. In addition, the Business Office Manager supervises and manages the Business Office staff, including the Front Desk Coordinator, Surgery Scheduler, and Medical Records Coordinator. The individual in this position is expected to promote an efficient Business Office, leading to positive patient experiences and fostering strong working relationships among all departments within the Center. The customers served by this role include patients, physicians, vendors, and Surgery Center and POC staff.

  • Manage and coordinate all aspects of the business office, including front desk operations, customer service, surgical scheduling, and medical records management

  • Supervise and lead a team of administrative staff, including the Front Desk Coordinator, Surgery Scheduler, and Medical Records Coordinator

  • Oversee patient scheduling, reception, cash management, and medical records processes

  • Serve as a liaison between nursing management, surgeons, and center staff to facilitate effective communication and problem-solving

  • Ensure HIPAA compliance within the department

  • Manage staffing assignments, payroll, overtime, and PTO requests for business office personnel

  • Coordinate the hiring, training, and performance evaluation of business office staff

  • Maintain a customer service-oriented approach in all interactions with patients, visitors, physicians, vendors, and staff

  • Monitor and optimize administrative operations, implementing changes as needed in collaboration with Nurse Managers

  • Oversee the procurement of office supplies and manage related invoices

  • Promote cost awareness and efficient resource utilization among staff

  • Facilitate the resolution of administrative issues and maintain open communication to ensure high employee morale

  • Stay current with the latest trends in healthcare business administration

    Supervisory Responsibilities

    Directly supervises employees in the Business Office Department.

Qualifications

  • High School diploma or GED equivalent. College/business courses are preferred.

  • Prior experience in a management role, including supervisory experience, preferably in an ambulatory surgery setting.

  • Knowledge of medical terminology and CPT/ICD-10 coding.

  • Knowledge of MS Word, Excel, PowerPoint, Outlook, SIS Complete, and Athena.

  • Ability to respond to common inquiries or complaints from patients, patient’s representative, and physicians.

  • Ability to effectively present information to patients, patient’s representative, physicians, and regulatory agencies.

There is potential exposure to anesthetic gases, hazardous chemicals, blood and body fluids, sharps, and cleaning solutions. The employee frequently is required to move all extremities within a full range of motion, as well as stoop and bend at 90 degrees. Specific vision abilities required by this job include close vision.
