Job Summary
Provide administrative support to assist administrators in achieving departmental goals. May include one or more of the following duties: coordination of daily office management, assisting with budget preparation, drafting correspondence, processing documents for personnel matters, etc. Acts as a departmental liaison.
Essential Duties and Responsibilities
Responsible for coordination and managing of the daily administrative operations for the Follett Student Leadership Center.
Management of reception areas and front office space including student assistants both work-study and non-work-study.
Management of all onboarding procedures, trainings, and processes for new student and professional staff employees.
Serves as the communications liaison to external partners including Division of Student Affairs and other institutional departments. Serves as the point of contact for office.
Performs a variety of administrative duties for the department including but not limited to: office organization, maintaining office supplies and inventory, answering phones, managing filing, compliance with record retention policies, typing, office supplies, requesting guest access, requesting parking passes, controlling access and permissions, opening and closing procedures, and necessary errands.
Answers questions and resolves problems regarding the business unit. Ensures compliance with internal and external policies and procedures by managing the creation, maintenance, and updating of departmental operating procedures.
Reviews and approves financial transactions including purchase orders, vouchers, deposits, transfer of funds and pro card transactions. May perform monthly reconcilement of ProCards. Coordinates travel arrangements and prepares expense vouchers and expense reimbursements.
May track and maintain departmental financial accounts (i.e., cost centers).
Processes and maintains various personnel records (e.g., appointments, change of status, leave requests, terminations, etc.).
Acts as departmental timekeeper. Coordinate all student personnel processing and paperwork for the department including payroll for student employees via TCP.
Assist with event planning for major departmental programs including Fall Leadership Retreat, Leadership Recognition Ceremony, staff and student retreats, and program-specific events. Event planning includes managing meeting logistics, room scheduling, ordering of food, arranging for accommodations such as chairs, tables, marker boards, AV equipment, etc.
Composes correspondence on behalf of supervisor or under own signature.
May direct the work of other clerical staff by assigning duties.
Performs other duties assigned.
Minimum Qualifications
- High school diploma or equivalent with a minimum of four (4) years of experience providing secretarial or administrative support in increasingly demanding positions.
Preferred Qualifications
Bachelors’ degree in Communication, General Studies, or Business.
Experience with department budgets.
Experience processing basic financial transactions.
Experience with PeopleSoft. Experience with University of Texas at Arlington policies and procedures.
Knowledge, Skills and Abilities
Ability to utilize Microsoft Office Suite.
Knowledge of standard office practices and procedures.
Ability to maintain accurate records.
Skilled in written and oral communication skills.
Ability to independently resolve routine and complex problems and make decisions.
Ability to draft, read and comprehend a variety of correspondence.
Ability to manage time effectively and prioritize work.
Skilled in preparing clear and concise reports, correspondence, and other written materials.

Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.
Skilled in applying logical thinking to solve problems or accomplish tasks.
Understanding, interpreting, and communicating complicated policies, procedures, and protocols.
