Summary

This position provides general administrative support to the Regional Alliance for Healthy Schools (RAHS) Director and Management team to aid in the consistent management of the School-Based Health Centers and activities related to the centers. It is expected that the employee is knowledgeable about all general aspects of RAHS and forms constructive working relationships with RAHS staff.

Responsibilities*

Clerical:

  • Provide document preparation, note taking and preparation of meeting minutes

  • Prepare PowerPoint presentations and Excel spreadheets.

Management/Admin Support:

Director- Calendar maintenance, Weekly preparation of meeting packets with agenda/information and directions enclosed. Notify manager ahead of time if more information is needed to obtain information, timely email follow-up to garner meeting times, reserving rooms for meetings when needed on and offsite, practicing discretion when dealing with staff information, meeting deadlines of projects when required, screening calls.

Operations Coordinator - provide clerical support when needed, under direct supervision complete ? ordering of supplies, gaining approval for any purchases made for RAHS, meet deadlines when needed, communicate professionally

Clinical manager - Clerical support when needed, meeting projects deadlines when needed, communicate professionally

Social Work Manager - Clerical support when needed, meeting projects deadlines when needed, communicate professionally

Health Center Support:

  • Order supplies (office, medical, lab)

  • Order and maintaining all forms and other chart materials

  • Maintain and update lists of all clinical licenses and annual staff mandatories

  • Provide Joint Commission and CLIA compliance support, interface with other UMHS departments as needed to keep health centers current, and report back to RAHS management

  • Initiate regular maintenance of office equipment

  • Obtain supplies from local businesses to facilitate group or individual sessions

Program Support:

  • Prepare for staff, and team, meetings including scheduling, notification of members, agenda preparation, handouts and reserving rooms etc.

  • Minute taking for CAC meetings

  • Keep RAHS manuals up to date at all sites (Clinical Guidelines, Policies, Operating, and Meeting Minutes) under direction of Operations Manager

  • Provide general staff support for projects, program and event planning

  • Send thank you letters and cards to donors

Financial Support:

  • Aggregate P Card receipts for staff, and format them for submission to financial specialist for reimbursement

  • Assist with travel reservations and document trips for reporting purposes, as needed.

  • Other duties as assigned.

Required Qualifications*

  • High school graduation and two to four years of responsible clerical or business office experience

  • Must demonstrate proficiency when working with Microsoft Office including PowerPoint and Excel; knowledge of Access is a plus

  • Must possess the ability to work independently as well as to work and function as part of a team

  • The ability to multi-task and work well with repeated interruptions is essential

Desired Qualifications*

  • Graduation from a college or university with a Bachelor's degree in Business Administration, Public Health, Nursing or a related field; or an equivalent combination of education and experience

  • Five years of responsible clerical or business office experience

  • Knowledge of Microsoft Access

  • Knowledge of University policies and procedures
