Job Description:

Primary responsibilities: The Senior Administrative Assistant will perform a variety of administrative duties in support of CDM Smith Jordan operations and projects. The Administrative Assistant will be responsible for providing general administration and logistics support to the office, support areas of project operations and staff as described below.

Administrative and Operations Support

• Answer and direct phone calls to the appropriate person or department.

• Responsible for receiving & distributing projects incoming mail and other materials.

• Format various types of general business correspondence and reports for style consistency and accuracy, proofreading for grammar, punctuation and spelling.

• Assist project managers and engineers in letters drafting, review and comments and send final copy to concerned parties.

• Assist with translation from (Arabic to English) and vice versa upon request.

• Manage the correspondence archiving, filing system and ensure soft and hard copies of all correspondence are organized in the hard-copy and digital project files and projects archiving system.

• Support completion of the timesheets for non-Computer users working in the office.

• Manage project petty cash in a safe and secure manner in coordination with Project Accountant Lead.

• Support expense report submittal and reconciliation in coordination with Project Accountant.

Responsible of tracking the office supplies & stationary’s inventory by checking stock and ordering new supplies as needed.

• Assisting in procurement process starting from receiving “Procurement request form, getting written quotations & purchase order issuance in compliance with CDM Procurement poli

• Track the office equipment and furniture in Inventory system and update the status of items and maintain the inventory records on monthly basis.

• Support implementation of the health and safety measures and procedures according the CDM Smith health and safety policies.

• Provide other general administrative supports task requested by the supervisor when needed and related to the position.

Travel Logistics and Event Management

• Support the fleet through monitor & ensuring project’s vehicles are (insured, licensed and daily log sheets are filled in line with contract and local regulations.

• Support logistics and transportation needs under guidance of the Administrative & HR Manager.

• Responsible of all meeting, workshops and conference logistics by ensuring all necessary logistics related to the event are managed including: room booking, room setup, equipment & tools prepared, food/beverages and catering, attendees transportation and support, agenda supported, etc.

• Provide travel arrangements and clear communication for visitors including: hotel reservations, ticketing, airport pick up/drop-off for international / or local travelers, staff coming from/to Jordan for business in coordination and approval of HR & Administrative Manager.

• Assist the visa, residency and work permits needs of business visitors and expatriate assignees in Jordan.

Minimum Qualifications:

• Requires High School Diploma, but Associates Degree and/or advanced coursework/certificate in business administration or other related discipline is preferred.

• Minimum three years of relevant experience in a similar administrative capacity.

• Very good written and spoken communication skills in Arabic and English.

• Ability to maintain confidentiality and handle sensitive information with discretion.

• Strong interpersonal skills, self-motivated, attention to detail, and the ability to work as a team player.

• ability to work quickly, accurately and pay attention to details.

• Excellent time management skills and ability to prioritize tasks effectively in a fast-paced environment.

• Computer literacy and proficiency in the use of Microsoft Office applications.
